WORD OF LIFE FELLOWSHIP INC is Hiring a WOLBI Global Administrative Assistant Near Hudson, FL

Purpose

To provide administrative assistance to the Executive Dean of Global Campuses in order to ensure strategic support and healthy accountability for all international Bible Institute campuses in keeping with accreditation requirements and the provisions of the WOLBI Global Association Agreement. This role will also provide academic administrative support to the Florida Bible Institute.

Responsibilities

I. General Administrative Support to all Campuses

  • Facilitate monthly Global Connect Zoom events at the administrative, faculty, and student ministry levels.
  • Assist in the planning and execution of Global Chapels including communication, scheduling and content preparation (video, PowerPoint).
  • Assist in the planning and execution of the tri-annual Global Summit including communication/scheduling, registration, transportation/housing, and materials preparation/distribution.
  • Manage the content of the WOLBI Global Sharepoint site.

II. Accreditation Compliance Support to Teaching Sites

  • Assist in the vetting and documentation of all new faculty and guest lecturers.
  • Assist in ensuring the timely collection of all student records and grading information in consultation with the Office of the Registrar (NY).
  • Assist in pursuing and compiling annual documentation including campus assessments, course layouts, budgets, strategic plans, contact lists, catalog addendums, and status reports.
  • Assist with the preparation of bi-annual Teaching Site updates for the Bible Institute Governing Board.
  • Assist in the collection and compiling of 10-year TRACS reaffirmation material as needed.

III. Global Association Agreement Support

  • Collect annual strategic plans and progress reports.
  • Collect and archive faculty profiles.
  • Assist in preparing annual written campus assessments.
  • Coordinate scheduling and logistics for periodic on-site campus assessments.
  • Assist in facilitating the provision of services as requested (e-books, Canvas, Logos).


IV. Academic Administrative Support to the Florida Campus

A. Faculty and Guest Lecturers

1. Ensure updates to all class materials within Canvas.
2. Maintain semester textbook reading lists.
3. Ensure archiving of all course syllabi and notes.
4. Ensure scheduling, housing, and transportation details for guest lecturers.
B. Assignments and Testing
1. Ensure the readiness of all assignments, exams, and quizzes within Canvas.
2. Proctor the fall and spring Bible and Theology Knowledge Content tests.
3. Proctor all Tuesday morning exams and potentially others as well.
4. Manage all academic make-up work and testing in consultation with the Student Life Office.
5. Coordinate all late exams and assignments.
C. Grading
1. Supervise the student grading team.
2. Ensure mid and end of quarter "grade runs".
3. Advise students as necessary regarding grades, transfer credit, and make-up work.
4. Manage summer Ministry Practicum grades.
5. Assist in special situations such as course transfers from other institutions.
6. Academic support
D. Oversee class seating assignments.
1. Coordinate the implementation of the class attendance policy.
2. Ensure coordination of all tutoring and study intensives.
3. Graduation
E. Maintain Dean's and Dean's Honor lists.
1. Ensure preparation and readiness of Bible Certificates.
F. Miscellaneous
1. Assist with fall and spring student registration.
2. Provide general assistance to the Florida Associate Academic Dean as needed.
  • Bachelor's degree preferred.
  • Love for international ministry and ability to think and function cross-culturally.
  • Strong administrative skills with attention to detail.
  • Ability to track and manage multiple details, competing priorities, and deadlines.
  • Proficient in the use of common office technology including Outlook, Word, Excel, PowerPoint, and Zoom.
  • Familiarity with the Canvas Learning Management System or a willingness to learn.
  • Good oral, written, and interpersonal communication skills.
  • Motivated self-starter able to work with limited supervision and see projects through to completion.
  • Ability to maintain confidentiality.
  • Gracious, tactful, and patient.
