Description

Position Overview

The Human Resources Specialist is able to help develop, implement, support and review all HR department initiatives, policies, procedures, and systems. Also has leadership and instructional aptitudes needed to provide training and oversight on policies and This work is carried out in support of the mission and goals of Ryan Health.

Essential Functions

New Employee and Exiting Employee Activities

  • Conduct post-hire procedures, E-Verify, I-9 verifications, Personnel Action Form (PCF) for HRIS data entry, and all required initial compliance.
  • During New Hire Orientation week ensure all new hires are entered in HRIS and hand-scanned by day two.
  • Work with Director of Human Resources & HR Onboarding specialist as necessary in relation to new hire.
  • Send IT Termination ticket and PAF of exiting employee status and facilitate return of equipment to IT as appropriate.

 Payroll Administration

  • Process Personnel Action Form (PAF) for all new hires, status changes, union payouts & increases, bonus is, all other staff salary increases, terminations, department creations, etc. in Human Resources Information System (HRIS).
  • Work on communications to staff regarding salary increases, payouts, bonuses, etc. as necessary and appropriate.
  • Ensure all employee information is up to date on HRIS and other areas as appropriate to ensure the data integrity of the HRIS system.
  • Ensure processing of garnishments including notification to Employee, HR and the Payroll department.

Employee Satisfaction

  • Work with Director of Human Resources on surveys and participate in the analysis and reporting of results.
  • Assist in the communication and tracking of employee recognition and engagement activities.
  • Participate in the coordination of employee events, such as Employee Appreciation Day and Annual Holiday Party and birthday gifts and cards.
  • Maintain Human Resources section on NETTY (company intranet)

Training & Compliance

  • Train staff and management on HRIS system
  • Collaborate with HRD &IT in maintain training materials and modules current in the LMS and/or related trainings.
  • Maintain HRIS database and workflows.
  • Post up to date state and federal compliance posters.
  • Monitor & ensure that all credentials, licenses & verifications, employee physicals and CPR certificates are up to date.
  • Coordinate BCLS/CPR trainings.
  • Comply with I-9 completion, filing ad retention requirements.

Administrative Functions

  • Provide staff with employee verification letters and complete salary information requests.
  • Monthly ad-hoc reporting as needed.
  • Produce materials for audits.
  • Maintain HR mail Inboxes: HRDocs (eFax) & HR Inbox.
  • Maintain equipment & office supplies for the department.
  • Ensure employee documents are e-filed appropriately.
  • Back-up for Office Manager/HR Coordinator & HR Onboarding Specialist
  • Other Duties and Projects, as necessary.

Qualifications


Minimum Experience and Skills Required:

  • Two years of similar or relevant experience in a mid-sized (250 employees) organization.
  • Ability to balance shifting priorities and keep track of multiple tasks and deadlines.
  • Excellent communication & interpersonal skills.
  • Team player with sensitivity to cultural and personal diversity.
  • Strong computer literacy with proficiency in standard office software such as Microsoft Word, Excel, Outlook, Power Point, and Access.
  • Proficiency with Human Resources Information Systems & Applicant Tracking System

Education, Licenses, and/or Certifications Required:

Associate Degree required.

Preferred Qualifications:

  • Bachelors preferred.
  • Experience working in a unionized environment.
  • Experience in a Federally Qualified Health Center or health care environment.
  • SHRM or PHR certification
