Wildman Business Group is Hiring an Executive Assistant Near Warsaw, IN

KEY OUTCOMES (KPI’S)

1) OUTCOME: Manage Executive Calendar for CEO & President to Streamline Time for Planning & Strategy Execution

· Review Executive calendars weekly to ensure schedule optimization

· Meet with Executives weekly to adjust schedules as needed to meet changing business needs

2) OUTCOME: Establish a Cadence and Framework for Timely Deliver Materials to Company’s Fiduciary Board of Directors

· Establish Board packet delivery cadence and coordination

· Ensure all required materials are delivered timely in advance of each Board & Committee meeting

3) OUTCOME: Manage all Travel Needs for CEO & President

· Make all necessary travel arrangements for CEO & President and adjust travel schedules as needed

· Anticipate all support needs relative to travel and ensure efficient planning and support, as needed

· Support additional Executive Leadership Team travel needs from time-to-time

4) OUTCOME: Own Scheduling, Planning & Logistics for all Executive Level Meetings & Events

· Make all necessary meeting arrangements for all Executive level meetings, including food delivery planning, resource planning, location, and venue planning, etc., as needed

· Anticipate all executive meeting support needs and ensure efficient planning and execution accordingly

5) OUTCOME: Plan, Schedule and Support Meetings for CEO & President On-Site and Off-Site with Outside Business Partners

· Make all necessary meeting arrangements for all Executive level meetings, including food delivery planning, resource planning, location, and venue planning, etc., as needed

· Anticipate all executive meeting support needs and ensure efficient planning and execution accordingly

6) OUTCOME: Marketing & Event Planning Support for CEO & Executive Team

· Support CEO with presentations and marketing and communications collateral for business and non-profit collaboration opportunities

· Take the lead in key event planning needs to support the Executive Team, including logistics, travel and hospitality needs to support such events

7) OUTCOME: Perform Consistently with Wildman Core Values

STRENGTHS TO BE SUCCESSFUL (Minimum Requirements)

· High School Diploma or GED equivalency

· Minimum of 3 – 5 years’ experience providing administrative support to C-Suite Level Executive(s)

· Minimum of 3 – 5 years’ experience in event planning

· Intermediate level experience in preparing marketing and business presentations and collateral, including strong PowerPoint, Office Suite, and other presentation software tools (5 years’ experience or more required). Graphic design skills preferred, but not required.

· High level of confidentiality is an essential requirement for this role

· Strong written & verbal communications skills

· Professional presentation and demeanor

· Self-Starter requiring minimal direction on needed tasks

PRIMARY RESPONSIBILITIES

  • Manages executives’ calendar and commitment and manages and supports all needs relating to travel, meeting support, etc. for CEO, President, and Executive Team, as needed.
  • Prepares and submits information packages for Company’s Board of Directors.
  • Notes commitments made by executives during meetings and arranges for staff implementation.
  • Reads outgoing correspondence for executive approval.
  • In executive's absence, ensures that requests for action or information are relayed to the appropriate staff member.
  • Interprets requests, helps implement action, and decides whether executive should be notified of important, or emergency matters as needed.
  • Analyzes unit operating practices, such as record keeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance standards to create new systems or revise established procedures.
  • Prepares presentations, marketing collateral, and reports, including conclusions and recommendations for solutions of operational and administrative problems.
  • May compose and sign correspondence for executive.
  • Completes other administrative duties as may be assigned from time to time.
