Description

General Description: The Upper School Administrative Assistant demonstrates a spiritual maturity in attitude, actions, and speech, showing a consistent walk with Jesus Christ to the praise and glory of God. The Upper School Administrative Assistant will organize and maintain the Upper School office offering a professional and gracious first contact with the public and will assist the Upper School Principal in the daily operation of the Upper School.

Responsible To: The Upper School Principal 

Supervises: NA

Physical Requirements: Regularly required to sit, stand, walk, talk, hear, operate a computer, hand-held learning devices and other office equipment, reach with hands and arms, use clear vision both up close and at a distance, and must occasionally lift and/or move up to 10 pounds

Observable Actions: The Upper School Administrative Assistant shall exhibit integrity and discernment, striving for continuous improvement in the job requirements and exhibiting all related skills in the areas below. The individual in this position receives incoming calls, determines nature of calls, takes messages, directs and sometimes runs interference for the elementary teachers and principal. He/She performs a variety of clerical and hospitality duties. The person in this position must possess:

Spiritual:

· Model a daily walk with Jesus Christ in attitude, speech and actions.

· Show by example the importance of Biblical knowledge and study, prayer, 

· witnessing, and unity in Christian fellowship.

· Follow the Matthew 18 principle in dealing with students, parents, administration, and staff.

· Demonstrate brotherly love within the Body of Christ for students, parents, and staff.

Responsibilities:

The Upper School Administrative Assistant is responsible for the upper school principal and upper school teachers and the daily functions and services related to this position. Specific responsibilities include but are not limited to the following:

  • Update, distribute, and collect end-of-year forms and other required items from teachers.
  • Order Standardized testing & distribute.
  • Order, distribute, and collect (at year end)Teacher handbooks.
  • Assigns student lockers.
  • Assists with in-service.
  • Stand-in for a teacher if/when they need to leave the classroom.
  • Act as substitute teacher for the day if a substitute teacher is unavailable.
  • Communicate with parent(s) to schedule a parent/teacher/principal meeting.
  • Order any and all teaching materials for teachers.
  • Schedule all substitute teachers for high school.
  • Collect and file lesson plans.
  • File teacher grade sheets.
  • Communicate with parents for all student needs.
  • Distribute Mastery tests and end of year testing materials.
  • Keep up with the filing needs for the high school.
  • Oversee Teacher Appreciation Week.
  • Runs and prints report cards. 
  • Communicate to Business Office lost book/ipad fee assessments.
  • Assigns student parking spaces.
  • Keeps the office area clean, organized, and welcoming.
  • Call parents for various student needs.
  • Assist the Principal with purchases and purchase orders.
  • Run student information reports as necessary.
  • Support the Upper School Principal’s requests for dress and music approvals in
  • preparation for dance events.
  • Coordinate High School events (i.e. Senior Luncheons, Dances, Footwashing,
  • Graduation.
  • Prepare deposits for all monies collected for High School.

Professional:

  • Utilize educational opportunities for professional growth.
  • Seek and/or accept the counsel of the administrator and colleagues, while maintaining a teachable attitude
  • Provide input and recommendations for principal and assistant principal and managerial functions in the school.
  • Attend and participate in scheduled orientations, devotions, conferences, special school functions, seminars, retreats, in-service, and scheduled meetings i.e. committee, faculty, and P.T.F.
  • Study and know the procedures for crisis management issues including, but not limited to, fire and tornado drills.
  • Contribute to the general improvement of the school program
  •  Refuse to use or circulate confidential information inappropriately.
  • Perform any other duties, which may be assigned by the director.

Requirements

Qualifications: The Upper School Administrative Assistant is one that has received Jesus Christ as Savior and Lord. He/She shall faithfully attend and financially support a local church whose fundamental beliefs are in agreement with the Westminster Statement of Faith.

The Upper School Administrative Assistant shall possess a High School diploma or its equivalent, minimally.

The Upper School Administrative Assistant shall possess basic office management training and/or comparable on-the-job training, as well as computer literacy/technical skills

The Upper School Administrative Assistant shall have a minimum of 1-year experience working with an executive officer.
