Western Illinois University is Hiring an Administrative Assistant - Quad Cities Near Macomb, IL

  • Responsibilities:
    • Anticipates and responds to the administrative needs of the Vice President’s
      Office, campus departments, and coordinates and collaborates with various
      university offices as needed.
    • Serves as the central hub of incoming and outgoing communication and liaison to
      the Office of the Vice President for Quad Cities Campus Operations, and
      distributes communication, reports, correspondence, and verbal communication
      internally and with external stakeholders. Provides authoritative information on
      behalf of the Vice President.
    • Coordinates and updates schedules and logistical arrangements with internal and
      external stakeholders related to on or off campus meetings, conferences, and
      events.
    • Develops, maintains, and updates the Quad Cities campus operations and
      emergency response manuals in collaboration with department directors and in
      consultation with related Macomb-based offices. Maintains an encompassing
      knowledge of significant campus responsibilities and deadlines and ensures Quad
      Cities campus alignment with University policy and procedure across areas
      reporting to the Vice President.
    • Provides administrative support to the President and Provost when they are on
      campus, including office support and set up, coordination of campus activities, and
      collaborates with the Executive Assistant to the President when needed.
    • Ensures copy centers are operational and stocked with necessary supplies.
    • Serves as the primary point of contact for planning outreach focused programs
      and events. Receives and evaluates program/event feasibility in consultation with
      the Vice President.
    • Supports outreach and communication related to the Quad Cities Planning
      Advisory Council, and generates a quarterly newsletter.
    • Coordinates logistical arrangements related to on or off campus university-hosted
      meetings, conferences, activities, and other events independently and in
      collaboration with the Vice President, Executive Director of Outreach, and/or the
      Director of Development and Corporate Relations.
    • Convenes meetings to determine event needs, participant roles, and operational
      considerations.
    • Maintains a central calendar and overall awareness of campus events, and ensures
      communication and coordination across campus and university departments.
    • Provides support for summer camp planning and implementation in collaboration
      with the Executive Director.
  • Required Qualifications:

    CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER

    • High school graduation or equivalent
    • Any one or any combination totaling five (5) years (60 months) from the following categories:
      • college course work in business, finance, accounting or a related field:
        • 60 semester hours or an Associate's degree equals one (1) year (12 months)
        • 90 semester hours equals two (2) years (24 months)
        • 120 semester hours or a Bachelor's degree equals three (3) years (36 months)
        • Master's degree or higher equals four (4) years (48 months)
      • progressively more responsible professional, managerial and supervisory experience that included experience in areas such as supervising staff or a job function, organizing and coordinating office operations, and performing duties that lead to knowledge of generally accepted office management principles
