General Statement of Job:

The Accounts Payable Specialist is to assist in the administration of the district’s business affairs so as to provide the maximum services for the financial resources available.


Essential Functions:

  • Matches invoices to purchase orders and processes for payment by creating an invoice packet with budget code, merchandise amount, tax, shipping, total, P.O. number and vendor number.
  • Communicates with vendors and school personnel about discrepancies.
  • Sends list to the schools of purchase orders that have been fully invoiced and have not been signed off for payment.
  • Tracks payments made on blanket purchase orders.
  • Checks input and assists in check writing.
  • Performs routine maintenance on encumbrance journals.
  • Checks input and assists in check writing for child nutrition.
  • Generates outstanding obligations report for accounts payable at year end.
  • Records additions, retired, and transferred inventory items at central office.
  • Tags inventory items at central office with ID tags.
  • Assists schools with their inventory records.
  • Records additions, deletions and transfers for Lee County Schools.
  • Tags fixed assets for Lee County Schools.
  • Calculates depreciation on fixed assets.
  • Balances fixed assets by classification and by fund.
  • Balances fixed assets by elementary, middle, high school, special schools and administrative.
  • Keeps file on leases.
  • Prepares semi-annual report on leases.
  • Develops and recommends policies to govern personnel and program activities.
    • Plans and develops special programs for target groups and secures supportive endorsements and funds to conduct related programs. Performs related work as required.


    Knowledge, Skills, and Abilities:

    • Considerable knowledge of grammar, vocabulary and punctuation
    • Considerable knowledge of office practices and procedures
    • Considerable knowledge of bookkeeping
    • Considerable knowledge of accounting techniques and procedures
    • Ability to compile and summarize information
    • Ability to access information through a computer network, or from a mini-or main-frame computer
    • Ability to use moderately complex, WORD processing or spreadsheet software programs
    • Ability to reconcile divergent entries
    • Ability to learn, interpret and explain policies, regulation and programs
    • Ability to resolve problem situations
    • Ability to schedule variable work


    MINIMUM TRAINING AND EXPERIENCE

    • Minimum of two years accounting or business from a college or university preferred.
    • Three to five years of work experience in a related area of accounting and purchasing.
