Position SummaryThe Administrative Assistant provides administrative and program support for Tyson Research Center, the environmental field station of Washington University in St. Louis. This includes planning and performing the administrative support functions and duties required for the successful operation of the department.
Job DescriptionPrimary Duties & ResponsibilitiesCoordinates and performs daily tasks to ensure functioning of the Tyson administrative office:
  • Tracks and reconciles expenditures against Tyson budget for 3 departments and grants.
  • Manages reservation/rental of Tyson spaces, including classroom, lab, bunker, warehouse, and other spaces. Administers and helps negotiate lease agreements for 15 storage space tenants and residential house leases at the Tyson annex property.
  • Serves as primary liaison for packages received by the department and campus mail.
  • Orders office, kitchen, maintenance, and research supplies and equipment for Tyson staff and researchers.
  • Manages Tyson events, including purchasing food, inviting guests/attendees, and overseeing the successful execution of events.
  • Handles parking permitting and licensure for Tyson vehicles.
  • Provides general administrative support including scheduling appointments, meetings and making travel arrangements.
Interfaces With Tyson Users And The Public
  • Serves as primary contact and information source to visitors, development, vendors, researchers, students, and teaching groups. Provide advising (answering general questions) to students, faculty, staff.
  • Serves as first media contact point for literature and information, makes decisions on appropriate contacts for specialized requests for information.
  • Administers Tyson’s access policies and procedures, manages gate/security system and key distribution for Tyson, and works with Director to determine access privileges for Tyson users and the Endangered Wolf Center.
Coordinates and provides administrative and logistical support to Tyson users:
  • Provides support to staff, researchers, students, faculty, seminar speakers, and the Memorial Grove/WU Medical school staff and visitors.
  • Sets up travel, lodging, and overall logistics for seminar speakers.
  • Scribes, disseminates, and archives notes from Tyson staff/community meetings and relevant events (e.g. workshops)Assists in development/coordination of programs/projects/grant proposals.
  • Serves as liaison to the research office to assist with finding funding opportunities.
  • Coordinates and plans with the Tyson team on seminars and events.
Coordinates Department Communications
  • Coordinates and updates general communications for the department including verbal, written and electronic communications and websites (Instagram, Facebook, digital newsletters), which includes initiating/reviewing drafts of various communications.
  • Designs Tyson annual report and printed calendar.
  • Handles delivery of printed communication materials.
Maintains Tyson User Data
  • Tracks the use of Tyson by researchers, classes, workshops, events, retreats, etc.
  • Maintains and updates Tyson stakeholders database.
Performs other duties as may be assigned.
Working ConditionsOffice environment in field station (including exposure to ticks) using typical office equipment. Typically working at desk or table, but occasional need to work outdoors. Repetitive wrist, hand or finger movement (PC typing). Ability to travel to on- and off-campus locations as needed. May be required to move/lift <20 pounds as needed (infrequently). Enjoy outdoors, appreciate nature, and wish to work in a field station environment with ecological researchers and support the mission.
Preferred Qualifications
  • Two to three years of administrative support experience.
  • Experience in dealing with multiple constituencies and the public.
  • Proven ability to work independently and make sound operational decisions.
  • Interest or experience in natural resources, conservation, or science education, and capable of becoming familiar with the research and teaching activities at Tyson Research Center.
  • Ability to lift and move 20 lbs on occasion.
  • Familiarity with an academic or not-for-profit work environment.
  • Expertise with Adobe Creative Suite.
  • Experience with Workday.
  • Working knowledge of Microsoft Office software and Google (e.g. sheets, shared docs).
  • Demonstrated strong interpersonal skills and professional demeanor.
  • Strong oral and written communication abilities, and providing excellent customer service. Proactive, an agent of change, able to prioritize tasks, exercise sound judgment, and maintain confidentiality.
  • Flexible, creative, excel in multi-tasking and thrive in busy environment with deadlines.
  • Willingness to work extra hours as necessary to achieve objectives.
  • Professional and courteous communication with colleagues and all internal and external clients is essential.
Required Qualifications
  • High school diploma or equivalent high school certification.
  • One year of experience in an office or administrative support position.
  • Valid Missouri Class E or Illinois Class D Driver's license.
  • Good driving record.
Grade
G06-H
Salary Range
$17.52 - $26.27 / Hourly
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
