Summary:

This individual is responsible for assisting with the various department needs, which may include departments such as accounting, sales, marketing, and legal. This individual will need strong organizational and verbal skills with working knowledge of Microsoft Office Suite products and proficiency with Excel. As a receptionist this position will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, the flow of correspondence, requisition of supplies as well as additional clerical duties.

  • Essential Duties and Responsibilities:
  • Answering, screening, and forwarding any incoming calls while providing basic information when needed.
  • Receiving and sorting daily mail/deliveries/couriers.
  • Serving visitors by greeting, welcoming, directing, and announcing them appropriately.
  • Maintain security by following procedures and controlling access.
  • Perform other clerical duties to support the corporate office such as ordering supplies, credit card reconciliation, etc…
  • Assists with banking, insurance, and accounting matters required of the Accounting department.
  • Maintain weekly Excel tracking sheets.
  • Maintains corporate records and updates minutes as needed.

  • Covering the Front Desk as needed and for lunchtime rotation
  • Serving visitors by greeting, welcoming, directing, and announcing them appropriately.
  • Maintain security by following procedures and controlling access.
  • Perform other duties to support the corporate office such as ordering supplies and credit card reconciliation.
  • Will be required to perform other duties as requested, directed, or assigned by the assigned Departments.

Job Knowledge, Skills, and Abilities:

  • Proven working experience in handling front-office responsibilities
  • Proficient with Microsoft Office and ability to work with numbers.
  • Solid communication skills both written and verbal.
  • Ability to organize, multi-task, prioritize and work under pressure.
  • This position is subject to sensitive and/or confidential information, requiring a high level of discretion.
  • Possess excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.

Education and Experience:

  • High School Diploma or GED.
  • Relevant experience required.

Physical Demands :

  • Required to lift up to 25 lbs.
  • Regularly required to sit, stand, bend, reach, and move about the facility.
  • May be subject to sitting for long periods of time to perform job scope.

Work Environment:

  • Location of position: Corporate Headquarters
  • Work will generally be performed in an office environment.
  • May be exposed to shop elements such as noise, dust, odors, fumes, and oils.
  • May be required to work hours other than the regular schedule
  • Background checks and drug tests required
  • Extended hours may be required.
  • Valid driver’s license required
