Role and Responsibilities
The ideal candidate for this position is someone who communicates professionally and can calm even the most agitated patients.? She/He must display warmth and kindness. They must also speak softly yet directly when addressing any challenges, display empathy, and lead the team to ensure a positive patient experience.? The office manager must set the tone of the office, respectfully take charge, and be able to work well with the staff.?? The manager must ensure issues are addressed, processes and protocols are followed and ensure the physicians' schedules and patient flow are smooth and run efficiently throughout?the day.? This person must lead by example and always exhibit professional behavior.
QUALIFICATIONS:
Prior Supervisory experience a must
Medical Office experience is a must.
Bilingual SPANISH is a MUST

Good Verbal and Written Communication skills a must
Ability to problem solve and to work independently or as a team
Supervises, trains, and evaluates clerical staff; assists in clinical staff evaluation.
Ensure patient flow and physician schedules are efficient to allow for an optimal cycle time.
Implements all VRC policies and protocols; works jointly with the CEO, Administrator, and HR Manager to develop and implement new policies.
Hires and onboards new staff in conjunction with the HR department.
Sets staff schedules, oversees staff attendance, and will address any tardiness and/or patterned absenteeism.
Performs Check In and Check Out, collects patient payments, knowledge in insurance requirements, provides support to the clinical staff and surgical booking
Supports all staff members in the day-to-day challenges by promoting a friendly, cohesive & positive working environment.
Works with staff to encourage positive relationships, mutual respect and promotes fairness.
Ensures the facility is well maintained and cleaned regularly to ensure all infection control measures are met.
Manages inventory and orders all supplies.
Daily reconciliation of all time-of-service monies collected and makes bank deposits twice weekly.
Oversee daily reconciliation of drug inventory, ensuring they are properly stored, work with the clinical supervisor to ensure drugs are properly recorded and used.
Understand the billing process, ability to speak to patients regarding their accounts, work in conjunction with the Billing Manager and Compliance Supervisor to ensure all claims are accurate, submitted timely.
Ensure all documentation needed for a patient visit is complete, i.e., referral and/or authorizations, patient insurance information, etc.
Master the software programs, i.e., Athena, MDI, Phreesia, Podis, etc. and ensure staff are properly trained.
Ability to troubleshoot equipment; work in conjunction with the Facility Manager to ensure equipment and facility is in good repair and report any items in disrepair.
Assess productivity of the staff, ability to run reports and process data.
Required to work a minimum of 80 hours per pay period, can be combined with worked hours and PTO or straight worked hours.
Any other tasks assigned by the physicians, CEO, CFO and/or Practice Administrator
