Job Title: Inside Sales Representative
Reports To: Director of Business Development
Direct Reports: None
Key relationships: Sales Managers, Product Managers, Operations, Quality, Accounting
Role Purpose: The Inside Sales Representative is pivotal in driving Vista Manufacturing and Vista Plastics' sales growth by supporting the outside sales team and handling both inbound and outbound sales activities. Responsibilities include managing customer interactions, inquiries, and resolutions with a strong emphasis on sales-driven communication. This role is critical in the processing of orders, quotations, pricing, and account management for designated house accounts, ensuring a seamless and efficient sales process.
Requirements:
  • Must be 18 years of age or older.
  • Experience in customer service, order entry, and inside sales
  • Proficient in Microsoft Office 365 Suite
  • Outstanding verbal and written communication skills
  • Strong time management and organizational abilities
  • Excellent teamwork and problem-solving capabilities

Key Responsibilities:
  • Ensure timely and accurate management of customer orders, including entry, modifications, acknowledgments, and shipment notifications.
  • Collaborate closely with Operations for planning and tracking orders to meet customer shipping requests, handling rush and sample orders efficiently.
  • Address customer inquiries related to orders, billing, product issues, service questions, and concerns, ensuring proper escalation and communication with relevant departments.
  • Partner with Purchasing, Product Management, and Sales Managers for the entry of significant orders, blanket orders, and quotation generation.
  • Coordinate with Operations to determine delivery dates for sales orders, addressing any production capacity or stock availability concerns.
  • Expedite the processing of New Product Request (NPR) forms into the Engineering database within 24 hours of receipt.
  • Participate in and contribute to the weekly Return Material Authorization (RMA) Meeting, ensuring RMAs are processed and resolved within 5 days, and maintaining clear customer communication.
  • Oversee customer contract pricing and manage the transition of outdated "Masters" files for all accounts.
  • Assist the Product Manager in obtaining and updating pricing as necessary.
  • Maintain accurate customer data in coordination with the Sales Manager, including the upkeep of Customer Portals.
  • Handle initial web and phone inquiries, ensuring prompt and effective response.
  • Manage designated house accounts by providing accurate quotations, processing orders, updating pricing, and resolving issues promptly.
  • Facilitate comprehensive sales communication with House Customers, understanding the critical role this plays in achieving Vista Quality Objectives.
If deficient in any area of responsibility, appropriate training will be implemented, and successful completion evaluated. The above items are not an exhaustive description, and additional duties may be required.
