Virginia Peninsula Foodbank is Hiring a Receptionist/Administrative Assistant Near Hampton, VA

The Receptionist, reporting to the Chief Financial Officer, will be responsible for greeting on-site guests, answering incoming telephone calls, directing calls to appropriate staff, organizing and distributing mail, and providing additional clerical support. The Receptionist is the first point of contact for the entire organization, which requires a positive and friendly attitude as well as a professional appearance. This position will multi-task a variety of front office activities.

Tasks and Responsibilities:

  • Support Virginia Peninsula Foodbank’s mission to provide food security.
  • Welcome on-site guests, determine nature of business, and announce visitors to appropriate personnel.
  • Ensure the professional appearance of the lobby and front office.
  • Answer incoming telephone calls, establish purpose of callers, and forward calls to appropriate personnel or department.
  • Respond to questions about the organization and provide callers with address, directions, and other information requested.
  • Take and deliver messages or transfer calls to voicemail when appropriate personnel are unavailable.
  • Ensure main voicemail is set to reflect any office closings and special events.
  • Receive, sort and distribute incoming mail and packages.
  • Prepare outgoing mail including operation of postage meter.
  • Assemble bulk mail and prepare for disbursement.
  • Assist accounting staff with clerical duties to include photocopying, shredding, document scanning, organizing/maintaining files, folding thank-you letters, and entering data into the donor database.
  • Read newspapers daily for stories or news indirectly related to the Foodbank, its partner agencies or key donors.
  • Other duties as assigned.

Education and Formal Training:

  • Minimum: High School diploma or GED.
  • Preferred: Associates Degree or two years of college

Experience:

  • At least 2 years’ experience as a receptionist or clerical/administrative role.
  • Proficient in Microsoft Office (Word, Excel, and Outlook)
  • Experience operating multi-line telephone systems.
  • Familiarity and working knowledge of general office machines (i.e. copier, printers, scanners, etc.)

Physical Demands:

While performing duties of this job, the employee is regularly required to stand or sit for prolonged periods of time while working in an office or warehouse environment. Must be able to work in all weather and warehouse conditions; including refrigerated and freezer spaces.

This job requires that weight be lifted, or force be exerted up to 30 pounds when handling inventory, donations, equipment, document and files.

  • Close vision (clear vision at 20 inches or less) working with documents, computer screens and filing.
  • Distance vision (clear vision at 20 feet or more), peripheral vision, depth perception and ability to adjust focus when operating equipment.
  • Regularly required to talk or hear when communicating with employees and clients.
  • Perform duties and work in all types of weather conditions in and out outdoors.
  • Use hands and fingers to handle, or feel
  • Reach with hands and arms
  • The employee must be able to climb or balance.
  • The employee is required to stoop, kneel, crouch, or crawl.
