Summary: The Client Relations Assistant provides administrative and organizational support to the team. Essential Duties and Responsibilities: Assist with answering phones and responding to external inquiries as well as scheduling internal and external meetings for the Client Relations team. Process invoices and track future invoice due dates; maintain expense reports related to events and sponsorships; copying and scanning as needed; coordination of incoming and outgoing packages. Maintain calendar of honors and award submission deadlines across practice groups; organize internal database in iManage and track results. Update and maintain contact information via InterAction, such as contact updates, creation of marketing lists, tagging client activities, adding new clients, etc. Assist with tracking attorney speaking engagements. Ensure new clients are added to the CRM system and appropriate relationships are tracked in coordination with the Client Relations team. Support the Client Relations team with firm events and client dinners, including maintaining event calendar, invitation list research and development, tracking RSVPs and attendance, venue research, travel arrangements, preparing name tags, coordination of printed materials, and submitting materials for CLE credit. Maintain organization and tracking of pitch decks and RFPs in iManage. Support client relations team with research projects for practice groups and social media competitive analysis. Assist with additional projects as needed. Knowledge, Skills, and Abilities Required: High level of proficiency in Microsoft Office Suite, including Word, Excel and PowerPoint. Proficient in use of Adobe Professional. Ability to work under pressure while maintaining a high degree of professionalism. Ability to foster a positive work environment. Ability to provide support for detailed and complex projects. Excellent interpersonal and written communication skills. Flexible team player willing to collaborate with others to accomplish required tasks. Ability to work efficiently in a fast-paced, high-pressure environment. Must be able to work as part of a team as well as independently. Education and Experience: Bachelor’s Degree required. A minimum of one year of professional services or law firm experience, preferably. The expected base salary for this role ranges from $65,000 – $75,000. The base salary offer is based on a variety of factors which includes, but not limited to qualifications, education and experience.
