Description

About Us:

Vacatia is an innovative hospitality company reinventing the timeshare experience across discovery booking and stay. The Dolphin Run Condominiums are in the heart of the Virginia Beach oceanfront, where you are within walking distance of the beach, local restaurants, entertainment, shopping, and more. Dolphin Run is positioned on the boardwalk where you can enjoy fishing, charter a boat, or explore the Virginia Beach Aquarium.

Summary:

The Full-time Front Desk Clerk will be the hospitality liaison responsible for keeping the front office running smoothly, assisting with owner/guest check in and check out experiences, and keeping the General Manager and Rental Manager informed of any information relating to the rental units, owners, and guests. Must be engaging, able to interact with owners/guests in a personable, helpful manner. Weekend and evening availability are required as needed. 

Essential Functions:

  • Provides customer service and support for rental units to guests with questions and inquiries via phone, e-mail, direct mail, and direct contact
  • Provides an enjoyable vacation experience from check in to check out. Educates the guests on usage, on-site activities and area events and attractions
  • Must have basic office skills to screen phone calls, make copies, file, and other clerical tasks as needed. 
  • Make unit reservations via phone and email inquiries
  • Ensure completeness and accuracy of leases, providing check in packages for arriving guests
  • Print guest reservation cards for each arriving guests
  • Inspect condo units for pre-arrival, post-arrival, and post-departure of guests
  • Prepare and process maintenance work order tickets for units and common areas
  • Responds to guest inquiries, questions, suggestions and resolves minor complaints and discrepancies and follows up with General Manager for resolution
  • Communicates and enforces condo policies and procedures
  • Responsible to make unit key cards, provide parking passes, receive/sort mail and packages
  • Performs related duties as assigned or as the situation dictates

Requirements

Education and Experience:

  • High school diploma or GED
  • Customer service experience required
  • Knowledge of computer applications
  • Excellent oral and written communication skills
  • Excellent time management & organizational skills

Physical Requirements:

While performing the essential duties of this Job, the employee is commonly required to stand, talk, or hear. Additionally, employees in this position are frequently required to walk; use hands to lift, place, handle, and feel; stoop, kneel and crouch when stocking, shelving, etc. Employees must frequently lift and move up to 10 pounds and occasionally lift and move up to 25 pounds. Lifting items over 25 pounds will be done with equipment or two or more employees.
