USMD Hospital at Arlington is Hiring a HR Asst Near Arlington, TX

Job Purpose: The Human Resources (HR) assistant assists with the administration of the day-to-day operations of the human resources functions and duties. The HR assistant carries out responsibilities in some or all of the following functional areas: recruiting, employee on-boarding, HRIS, training and development for all USMD locations and departments throughout the U.S. The HR assistant contributes to the accomplishment of Human Resources practices and objectives that will provide an employee-oriented, high-performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment, and assists the recruitment process and ongoing development of a superior workforce.

Education & Qualifications: HS Diploma or GED required

Required Licenses/Certifications: None

Work Experience 3 years experience as an administrative assistant preferred

While performing the duties of this job the employee is regularly required to use hands to finger, grasp, handle, or feel and to reach with hands and arms. The employee is frequently required to sit, stand, walk, see, speak, and hear. The employee is occasionally required to kneel, climb, or balance. The employee is regularly required to lift up to 10 pounds and rarely lift more than 25 pounds.

Special Requirements: Verbal and writing ability required to communicate effectively in informing employees of activities and policies. Numerical ability required. Ability to receive, comprehend, and carry out instructions; ability to work safely with equipment, supplies, and materials; ability to comply with attendance requirements; ability to comply with Human Resource policies. Proficiency with MS Office products including Word, Excel, Access, PowerPoint and Outlook. Ability to work effectively with all levels of management and other colleagues. Ability to multi-task, detail-oriented with strong time management skills. Microsoft Office (Word, Excel, PowerPoint, Outlook). Proficiency in data entry working in HRIS systems or other database software programs.

Essential Duties and Responsibilities:

  • Recruiting and staffing logistics;
  • Responsible for maintaining all recruiting new hire files, applicant documents, recordkeeping, and reports etc,
  • Assist in posting job openings in various media sources (i.e. internal/external web postings, job boards, etc.)
  • Schedules testing examinations by coordinating appointments.
  • Substantiates applicants’ skills by administering and scoring tests.
  • Informs job applicants of their pre-employment status such as background check, drug screen and other verification information.
  • Assist with the USMD preceptor program by scheduling and maintaining PA/NP’s files, application, and immunization records as they complete their clinical rotations at USMD. Maintain relationships with the universities that have established agreements with USMD. Assist with students willing to shadow physicians by scheduling clinic hours per student etc. 
  • Performs data entry, and recordkeeping e-files in accordance with all federal, local and state laws and regulatory requirements
  • Enters new hire paperwork into payroll system
  • Submits employee data reports by assembling, preparing, and analyzing data and processing for to appropriate HR contact for payroll, filing and data entry.
  • Maintains employee confidence and protects operations by keeping human resource information confidential.
  • Provides support by entering, formatting, copying and printing information; organizing work; relaying messages maintaining materials and supplies needed for new hire orientation and training events.
  • Welcomes new employees to the organization by communicating orientation dates.
  • May assist with orientation and training course logistics and class preparation including maintaining the inventory of orientation materials and supplies; new hire packets and benefits enrollment forms, etc.
  • Coordinate and maintain all appropriate onboarding and course acknowledgement and course
     documentation for compliance and recordkeeping.
  • Maintains quality service by following organization standards.
  • Participate and attend HR department meetings as required.
  • Contributes to team effort by accomplishing related results as needed.
  • Coordinate with local catering vendors and tracking of expenses for budget purposes.
  • Performs other duties as assigned
