US Air National Guard Units is Hiring a MANAGEMENT AND PROGRAM ASSISTANT (OA) (TITLE 5) Near Peoria, IL

Duties

As a MANAGEMENT AND PROGRAM ASSISTANT (OA) (TITLE 5), GS-0344-7, you will assist in managing the Group Customer Services Functions such as Training Management, Deployment Monitor, Resource Advisor, Security Management, Self-Assessment coordinator, Defense Travel System Administrator, Military Personnel Data system operator.
Major Duties - This is NOT an all-inclusive list:

  • Ensure that priority actions are properly staffed and executed throughout the organization.
  • Establish controls and suspense dates and follow up to ensure that required actions and responses are completed within deadlines.
  • Document proceedings and furnish supplementary guidance/information as requested.
  • Establish and maintain Commander schedules, operating files, time reporting, leave, system access and records.
  • Answer telephone inquiries or refer to appropriate staff.
  • Distribute communications, recording the receipt, suspense, and completion dates as appropriate.
  • Purchase supplies and initiate purchase requests.
  • Serve as Government Purchase Card holder for the supply purchases.
  • Provide input to the annual budget submission for the next fiscal year budget requirements.
  • Assist in analyzing statistical and narrative data in order to improve efficiency of the administrative processes in the organization.
  • Analyze production and personnel action data, policies, Standard Operating Procedures (SOPs), directives, etc.
  • Conduct special projects throughout the organization using established methods of gathering and tracking data, doing flow chart analysis, trend analysis, identifying and resolving issues.

  • This position is covered by the Domestic Violence Misdemeanor Amendment (30 Sep 96) of the Gun Control Act (Lautenberg Amendment) of 1968. An individual convicted of a qualifying crime of domestic violence may not perform the duties of this position.
  • Irregular and/or overtime (compensatory) hours may be required to support operational requirements or contingencies or may be required to work hours outside of the normal duty day.
  • This position is designated as Essential Personnel and may be subject to duty in preparation for, or in response to, a state emergency or disaster declaration. This designation will not exceed 14 calendar days per year unless otherwise approved by the TAG.
  • Participation in direct deposit is mandatory.

Qualifications

GENERAL EXPERIENCE: MUST possess experience, education, or training involving administrative or clerical experience (i.e., applying guidelines, rules and regulations to assignments, composing correspondence, researching and compiling information and data, and records administration); experience using computer and automation systems involving basic data gathering methods (i.e., standard interviewing or surveying techniques to collect various types of factual information and performing under general instructions); experience reviewing and/or modifying forms to determine if they are essential, can be simplified, consolidated with existing forms, or standardized for wider use; experience working with internal controls pertaining to administrative functions; knowledge of the organization and its mission sufficient to collect, organize and interpret information to include statistical material; and experience working with regulations and administrative procedures involved in assessing and assuring compliance.
SPECIALIZED EXPERIENCE: GS-07 Level - MUST possess specialized experience which includes 12 months of experience equivalent to at least the next lower grade level; experience evaluating and determining regulatory compliance; experience using guidelines, methods, precedents, and techniques applicable to the specific programs or phases relative to the position; and experience conducting studies, preparing reports, and making changes to eliminate ineffective operations.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
