Minimum Qualifications:
APPLICANTS MUST MEET AT LEAST ONE OF THE FOLLOWING REQUIREMENTS.
New York State Department of Civil Service Eligible List or eligible for transfer.
*Reassignment Requirement:* You must have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, SG-11, or Secretary 1.
If you are not currently on the NYS Department of Civil Service Eligible list for the Administrative Assistant 1 title, you may be eligible to be considered for a provisional appointment at the Traineeship Level, see below the requirements to be considered for appointment to a Traineeship
*Administrative Assistant Trainee 1 Transfer Eligibility Requirement:* You must have a current permanent appointment with a minimum of 1 year of service in a position of the same title or transferable title (SG-6 or above).
*Administrative Assistant Trainee 2 Transfer Eligibility Requirement:* You must have successfully completed the 52 weeks of service as an Administrative Assistant Trainee 1 and successfully completed the four core administrative support courses.
*Administrative Assistant 1 Transfer Eligibility Requirement:* You must have either one year of service in a clerical title (SG-9 or above) or completion of a two-year traineeship and successfully completed the four core administrative support courses and the four elective administrative support courses, as designated by the agency.
Perform Admin Asst tasks in support of Academic Affairs. Initiate cyclical activities without prompting, assuring that critical deadlines are met. Interact with students, referring them to higher-level guidance as appropriate. This is a pivotal position and the incumbent must perform the duties with a great deal of independence, self-motivation, discretion, and foresight. A proven, high level of computer literacy is important.
General Support: Provide support for meetings, videoconferences, faculty, staff, and student events and other functions. Cover phones.
Serve as clerkship administrator for assigned clerkship(s), coordinating and managing all administrative activities of the clerkship, including but not limited to: Communicate with clerkship site director(s), faculty, and staff. Distribute syllabus and course objectives. Create clerkship schedules, including lectures and clinical sessions. Schedule standardized patient (SP) exams with SP coordinator. Set up, assist with, and collect student logging and faculty evaluations in MedHub. Monitor student completion of clerkship requirements and enter data in learning management system (e.g. Blackboard). Proctor exams. Download and distribute exam results. Attend clerkship related meetings, including Phase 2 meeting.
Execute activities directed by the Associate Dean for Academic Affairs, including but not limited to: Generate faculty activity reports. Report student progress in completing clerkship requirements. Share feedback from students and faculty about the clerkship. Implement changes as directed. Provide administrative support to the Binghamton Campus Research Committee, and with that committee, coordinate the annual Binghamton Biomedical Research Conference.
*Keyboarding requirement:* Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.
