Unlocking The Spectrum Texas LLC is Hiring an Administrative Assistant/Floater Near Longview, TX

Description

Unlocking The Spectrum (UTS) provides year round therapeutic intervention for children with autism based on the science of Applied Behavior Analysis (ABA). UTS provides an atmosphere where children, clinicians and families can interact and support each other. By expecting the highest levels of professionalism from all team members, UTS can achieve its mission of ensuring that each child can reach their full potential at home and in a variety of settings outside of therapy.

  • Performs duties on agency or region-wide basis as assigned
  • Provides front desk and phone coverage, checks and relays messages
  • Greets all visitors and notifies appropriate staff, ensures that visitors sign in
  • Provides customer service to all parents, visitors, callers, etc.
  • Provides administrative services to Office Manager, Regional Director and Executive Team
  • Serves as assistant to Regional Director and Executive Team
  • Provides clerical support, including composition and preparation of routine written correspondence and emails to parents, vendors, therapists, etc.
  • Prepares and coordinates mail, faxes and packages
  • Logs and distributes mail as needed
  • Performs routine photocopying and other production services
  • Develops forms as needed
  • Proofreads outgoing correspondence
  • Attends and assists with set-up for special events as needed
  • Tracks office supply inventory and reports to Office Manager
  • Assists in updating and maintaining inventory lists for center
  • Shops for contracts for professional services and office equipment, reports to supervisors
  • Oversees maintenance of office equipment and equipment leases
  • Maintains confidentiality regarding all company fiscal, personnel and family-related information
  • Runs errands (i.e., post office, grocery store, Sam’s Club, etc.)
  • Coordinates and orders food for meetings, trainings and special events (regionally)
  • Places orders and shops for office and center supplies with Office Manager
  • Collects and tracks RSVP’s from staff, parents, guests for various events, meetings, outings, fundraising events, and special programs for region
  • Oversees all decoration, bulletin boards, etc. for center
  • Fills in for therapy with clients as needed
  • Maintains RBT, CPR, Safety Care and other certifications as required by the employer to perform therapy
  • Refrains from any use of cell phones, internet and email that is not related to UTS duties
  • Requests time off in advance (minimum of two weeks), calls-out sick to the appropriate person in accordance with current attendance policy
  • Reports to work on time or notifies supervisor and others as needed when tardiness will occur
  • Acts as a positive role model for all staff, families and children working with UTS
  • Maintains client confidentiality per UTS policy and HIPAA Privacy Regulations
  • Adheres to all UTS policies and procedures.
  • Performs other duties as assigned by Supervisor

Requirements

  • Extensive knowledge of ABA, autism and effects of therapy
  • Extensive knowledge of insurance terminology and procedures
  • Exceptional computer skills and proficiency with all Microsoft Office products, including Word, Excel and PowerPoint
  • Strong writing and verbal communication skills
  • Strong creative writing skills
  • Knowledge of and ability to create marketing materials when necessary
  • Strong organizational and time-management skills along with the ability to manage multiple tasks
  • Strong attention to detail and accuracy
  • Good judgment and creative thinking skills
  • Demonstrates creativity, flexibility and the ability to prioritize and problem-solve
  • Ability to work with a variety of people, both within and outside the company
  • Ability to communicate appropriately under varying conditions (considers the environment, people present)
  • Positive team player and energetic professional
  • Exercises discretion in private and sensitive matters
