Position SummaryThe Administrative Secretary performs various clerical and administrative duties for the Assistant Dean for Student Affairs in support of the University of Incarnate Word’s Rosenberg School of Optometry ( UIWRSO ) Office of Student Affairs. The Administrative Secretary reports to the Assistant Dean for Student Affairs.

Description Of Job Duties
  • Provides secretarial support for the Assistant Dean for Student Affairs, Student Affairs Office, and staff.
  • Meets and greets guests, faculty, staff and students.
  • Maintains calendars.
  • Sets up meetings, assists with meetings, provides meeting minutes, and assists with special events.
  • Maintains confidential student records.
  • Prepares letters, memos, and other correspondence.
  • Answers phones.
  • Prints and makes copies.
  • Distributes mail.
  • Processes purchase orders and check requests.
  • Assists with managing the Student Affairs budget and general departmental purchases.
  • Schedules travel for staff to include reconcile travel expenses.
  • Maintains office supply inventory and orders supplies.
  • Schedules and maintains Room Reservations on Outlook.
  • Performs all other duties as assigned.

Required EducationHigh School Diploma or equivalent.
Required Work ExperienceAt least two (2) years of related work experience in office setting.
Preferred Qualifications
  • At least an Associate’s Degree or equivalent.
  • Previous experience in a higher education setting.
  • Bilingual skills in Spanish language.
  • Previous budget management experience.
  • Previous experience in database entry and management; preferably Banner.

Work Hours
  • Monday through Friday 8am to 5pm with extended hours as needed, especially in the planning and execution of events, to meet departmental goals.
  • UIWRSO personnel will be subject to the leave and holiday policies of the School of Optometry, which may differ from those of UIW .
Physical Demands
  • Ability to lift up to 10lbs for table set-up/tear-down at events.
  • Ability to reach overhead, bend, squat to retrieve office/marketing/events/library materials.
  • Ability to push/pull event/marketing carts holding up to 35 lbs.
  • Ability to actively engage in events for extended periods of time.
  • Ability to regularly move about campus and event venues to actively engage faculty, staff, and potential/current students, as well as attend meetings on and off campus.
