Hiring Department

The University of Texas Permian Basin welcomes applications for the position of Administrative Assistant


Salary Range

$35,000.00 depending on qualifications

Essential Functions

This position is responsible for providing clerical, data entry, and general support to the Nurse-Family Partnership (NFP) program and the Department of Community & Family Health (C&FH).
1. Perform day-to-day clerical and administrative functions, including record keeping, database management, appointment setting, preparation of reports, and receptionist duties.
2. Input NFP and/or other Community & Family Health data in a timely and accurate manner into web-based information system(s).
3. Screen office calls, visitors, and mail, and assist staff with routine requests.
4. Ensure all required supplies and materials are available as needed and that equipment is in good working order.
5. Answer special requests and solve problems while routing to other staff and leadership when appropriate.
6. Attend regular staff meetings, one-on-one meetings with the NFP Supervisor, and periodic professional development and other training.
7.Conduct outreach and recruitment activities for the program and the department throughout the year as needed.
8. Accurately document all service provision, both electronically and physically, within designated timeframes.
9. Maintain accurate timesheets and all other reporting as required by the department and/or grant guidelines.
10. Participate in the data collection and data entry of evaluation instruments to measure progress and impact of the department.

Required Qualifications

1. High school diploma or GED.
2. One year of customer service experience in an administrative setting.
3. Working knowledge of Microsoft Word, Excel, Outlook, and other Microsoft/technical products.
4. Ability to work a flexible schedule including some evenings and weekends.
5. Ability to complete duties within deadlines and while attending to multiple tasks simultaneously.
6. Excellent written and verbal communication skills.
7. Proficient with Microsoft Office Suite or similar software.
8. Ability to maintain a high level of confidentiality.

Preferred Qualifications

1. Two or more years of customer service experience in an administrative setting.
2. Experience working with community-serving agencies.
3. Bilingual (English/Spanish).

Schedule

Generally, the normal work hours for the university are Monday through Thursday, 7:30 – 5:30 pm; Friday, 8:00 am – 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.


Standard Working Conditions

1. Able to lift various materials up to 25 pounds on an occasional basis.
2. Able to bend, crouch, and reach continuously.
3. Physically able remain seated, frequently to continuously.
4. Able to remain standing up to 15% of the time.
5. Possesses dexterity abilities required to perform job duties including extensive keyboard work, operating office equipment, performing filing, and other job-related responsibilities that include extensive wrist and hand movement.
