SalarySalary Range: $34,000-$39,000/Annualized, commensurate with education, experience and qualifications.

Essential FunctionsFunction: Administrative Associate I/II
Administrative Associate ITo assist in the administration of a department and handle routine administrative decisions.
Administrative Associate IITo assist in the supervision and administration of a department and handle various administrative decisions.
Scope:
Level IResponsible for the supervision of clerical staff and for supplying dependable and factual information for use by the department administrators.
Level IIResponsible for the supervision of clerical staff and administrative planning of internal activities, programs and special projects. Makes administrative decisions requiring a thorough knowledge of regulations, policies and procedures.
Typical:
Administrative Associate I/II- Uses initiative and independent judgment to relieve one or more administrators of many routine matters and decisions.
- Composes, types, edits, proofreads and produces in final form correspondence, forms, reports and other documents.
- Develops and oversees the maintenance of office filing systems. Maintains complex and confidential files for administrators.
- Assists in preparing departmental budgets by gathering and compiling information and making recommendations.
- Collects data from various sources and analyzes for accuracy, completeness and relevance. Prepares complex, statistical, technical, financial, confidential and other various reports.
- Initiates paperwork or electronic documents for faculty and staff appointments. Coordinates courses and faculty teaching schedules.
- Supervises clerical staff members. Monitors workload, determines work priority and evaluates job progress.
- Performs other duties as assigned.
Administrative Associate II- Plans, organizes and coordinates administrative duties. Supervises and trains clerical staff. Establish organizational policies, work rules and operating procedures.
- Edit speeches, memoranda, reports and proposed publications.
- Act as a liaison with other departments and agencies regarding inventory control, building services, equipment maintenance and repair, purchasing, safety and other administrative matters.
Periodical:
Administrative Associate I/II- Assists with special projects
- Assists in the annual evaluation of assigned clerical staff.
Administrative Associate II- Disseminate important policy and procedure information to faculty and staff.
Required QualificationsAdministrative Associate I/II- High School diploma or GED.
- Four years of increasingly responsible administrative, clerical or office experience
- At the department's discretion, a Bachelor's degree may be substituted for experience
- Knowledge of current methods and systems of bookkeeping, filing and purchasing.
- Demonstrated ability to apply knowledge in everyday work situations while utilizing independent judgment.
- Criminal background check.
- Personal computer and standard office equipment.
Administrative Associate II- High School diploma or GED.
- Six years of increasingly responsible administrative, clerical or office experience
- At the department's discretion, a Bachelor's degree may be substituted for experience
- Knowledge of current methods and systems of bookkeeping, filing and purchasing.
- Demonstrated ability to apply knowledge in everyday work situations while utilizing independent judgment.
- Criminal background check.
- Personal computer and standard office equipment.
Preferred QualificationsAdministrative Associate I/II- Bachelor's Degree.
- Advanced knowledge of university organizational structure, policies, rules and procedures.
- Similar experience with two or more years in higher education.
- Special equipment may be used in specific departments or sections.
Administrative Associate II- Similar experience with three or more years in higher education.
- One year of supervisory experience.
Working ConditionsWorking Conditions:
- Occasional extended work hours and/or travel may be required.
This position will be primarily located:
Downtown Campus.This position will require working one day out of the week remotely from home at the discretion of the hiring manager. Travel and parking expenses are the employee's responsibility. Applicants must be adaptable and open to working in both environments.
