Essential FunctionsJob SummaryFunction:
- To assist in the supervision and administration of the department office activities and handle various administrative decisions.
Scope:
- Responsible for the supervision of staff and administrative planning of internal activities, programs and special projects. Makes administrative decisions requiring a thorough knowledge of university regulations, policies and procedures.
DutiesTypical:
- Use initiative and independent judgment to relieve one or more administrators of administrative matters and decisions.
- Assisting and supporting administrators in establishing and attaining departmental goals and objectives.
- Plans, organizes, and coordinates events and department activities.
- Act as a liaison with other departments and agencies regarding inventory control, building services, technological needs, equipment maintenance and repair, purchasing, safety and other matters.
- Supervises and trains students. Establish organizational policies, work rules and operating procedures.
- Post updates to department website and social media pages.
- Acts as liaison between departments and internal or external customers including students and faculty; interacts with clients face-to-face, by telephone, or electronically to identify and support their transactional needs/requirements while maintaining a professional environment.
- Assist in preparing departmental documents, gathering and compiling information and making recommendations.
- Collects data from various sources and analyzes for accuracy, completeness and relevance. Prepare complex, statistical, technical, financial and confidential reports, charts and graphs.
- Perform other duties as assigned.
Periodic:
- Disseminate important policy and procedure information to faculty and staff.
- Perform annual evaluations of assigned employees.
Required QualificationsLevel I:
- High School diploma or GED.
- Four years of increasingly responsible administrative, clerical or office experience.
- At the department's discretion, a Bachelor's degree may be substituted for experience.
- Knowledge of current methods and systems of communication and operating office equipment .
- Demonstrated ability to apply knowledge in everyday work situations while utilizing independent judgment.
- Personal computer and standard office equipment.
Level II:
- High School diploma or GED.
- Six years of increasingly responsible administrative, clerical or office experience.
- At the department's discretion, a Bachelor's degree may be substituted for four years of experience.
Preferred Qualifications- Bachelor's Degree.
- Similar experience with two or more years in higher education.
- One year of supervisory experience.
- Advanced knowledge of university organizational structure, policies, rules and procedures.
Working Conditions- Usual office conditions.
- Occasional overtime and/or travel may be required.
This position will be primarily located:
On Campus: Primary work location will be on campus. Travel and parking expenses are the employee's responsibility.
