Reports to: Dean of the College of Nursing and Health Sciences
Position Description
The Administrative Assistant must demonstrate commitment to the mission of the University to educate the minds and hearts of its students in alignment with the Marianite charism. This position is responsible for daily operations of the Department of Nursing, supporting faculty and student needs.

Major Duties for the Department of Nursing

  • Preparation of annual reports including graduate and employee surveys.
  • Responsible for typing and filing of faculty needs, faculty meetings, course requirements and clinical rotations needs.
  • Maintain correspondence from the Department of Nursing to clinical agencies, accrediting bodies, current and potential nursing students, perspective faculty, etc.
  • Preparation each semester of clinical attestation sheets for nursing students and faculty during each clinical rotation for various facilities.
  • Update annually Nursing Student Handbook, Nursing Faculty Handbook, APRG Handbook, Nursing Advising Handbook.
  • Ordering of laboratory equipment, supplies, graduate pins, student bars for the Department.
  • Administer / score reading test and update file of reading scores at least 4 times a year.
  • Coordinate TEAS testing at least once a semester.
  • Preparation of admission applications/requests to the department.
  • Prepare, validate and maintain clinical agency contracts.
  • Organize and maintain a variety of confidential files in accordance with established policies and procedures. Selected examples:
    • Student files (must keep two files on every student in the Department)
    • Student clinical requirements (must record and file clinical requirements each semester on each student); includes drug screening prior to assignment at hospital, and verification of required health evidence (annual TB test, Hep B, MMR, Varicella, Influenza, CPR, health/liability insurance)
    • Course Syllabi files (maintain electronic file of course syllabi)
    • Course test files
    • Historical records (keep records for up to seven years)
    • Faculty files (maintain file on each faculty)
  • Preparation, compilation and filing each semester of evaluations for each faculty, each course and all clinical agencies.
  • Coordinate day of orientation for all new sophomore nursing students.
  • Process paperwork required for LA State Board of Nursing (LSBN) for incoming sophomores and graduating seniors (annually).
  • Prepare all background check information required of sophomores to be mailed to the LSBN.
  • Prepare programs and certificates to be presented at the annual spring commissioning and nursing pinning ceremony.
  • Assist with monitoring department budget and processing check requests and purchase requisitions.
  • Audit Student Nurse Association financial records a minimum of twice an academic year.
  • Meet with prospective students/parents to assist with recruitment.
  • Coordinate nursing lab door security access.
  • Perform any additional duties as assigned.

Duties for the College of Nursing and Health Sciences

  • Advise current and prospective students in person/by phone for the Department of Nursing. Assign advisors and provide admission documentation to the advisors in the College of Nursing and Health Sciences.
