The Administrative Assistant position will provide direct administrative support for the SON.Essential Functions
Assist with admissions as needed including:
Verifies application is complete and completes all information on review form.
Communicates with prospective applicants, including collection of necessary information and transcripts
Sends Welcome packets to incoming students
Schedule interviews for all prospective applicants.
Notifies students of orientation.
Updates handbooks & forms
Creates & maintains student files for all SON students.
Reconciles progression plans each term
Posts documents to student files as needed
Sits in ABSN courses to be liaison between faculty and online students
Assists students with LORA, Canvas, email access.
Verifies employment for reduced tuition.
Processes, posts, and tracks all student requests – i.e. Course Withdrawal / Leave of Absence, Internal Transfer, Graduate credit transfer.
Assists with enrollment data collection
Assists with Certification Audits for graduating students.
Provides education verifications for alumni.
Maintains confidential records of all SON students.
Maintains database information for SON program.
Attends SON meetings and takes minutes.
Inputs data into Exxat per Exxat super user.
Provides information about program policies and procedures by referring students to the appropriate Handbook policy.
Updates all handbooks and forms as needed.
Assists students and staff with student registration and enrollment.
Picks up & distributes mail including central receiving.
Monitor SON inventory
Related to Faculty Support
Processes faculty requests to order textbooks for SON programs and obtains desk copies for faculty as requested.
Update faculty gradebook
Performs other duties as requested/assigned
Additional Responsibilities:
Assist with grant reports
Assist with creating and documenting standardized procedures
Other duties, as directed, particularly to support SON Office Manager
.25% of duties to assist with CRNA program
Promotes positive and professional work environment
Bachelor’s degree preferred
Minimum of one year prior administrative experience, preferably in an administrative setting.
High level computer skills, including proficiency in word processing, spreadsheet software, database software, and experience with learning system platforms (e.g., Blackboard, WebCT, Moodle). Willingness to learn LORA systems.
Ability to work with office machines (e.g., printers, scanners, etc.).
Excellent organizational skills.
Ability to handle detail work with a high degree of accuracy
Ability to coordinate work, organize time, and work in self-directed manner
Excellent communication skills, written and oral
Excellent interpersonal skills and ability to work under deadlines.
Ability to prioritize, work promptly, reliably, responsibly and independently with minimal supervision
Ability to maintain confidentiality regarding student records and other matters
