University of Evansville is Hiring an Administrative Assistant for Major Gifts Team Near Evansville, IN

Position Overview:

The University’s Office of University Advancement is seeking a full time administrative assistant to support the major gifts team. This full-time position will provide direct support to the Senior Director of Major Gifts, six gift officers, and the Donor Relations Specialist in day-to-day operations of the office as a liaison, assistant, and support staff member.

Responsibilities:

  • Maintain a good understanding of the value of fundraising, public relations, customer service, and stewardship on behalf of the University. Act as a liaison for the senior director and major gifts team in maintaining a positive image for the Office of University Advancement and the University of Evansville.
  • Process sensitive information and respect the confidentiality of the same.
  • Communicate well in person and by telephone with all constituencies, particularly prospective donors, trustees, alumni, and University staff members.
  • Assist major gifts officers with administrative tasks associated with donor support documents, travel arrangements and itineraries, as necessary.
  • Provide administrative support to the Donor Relations Specialist for all donor events and stewardship communications.
  • Provide assistance, where needed, with all fundraising activities as they relate to the goals and objectives of the senior director.
  • Assist the senior director in maintaining the budget, including the paperwork for tracking payables, for assigned budgets.
  • Assist the major gift officers in processing and managing their procurement cards as needed.
  • Maintain the senior director’s calendar and filing system. Review and manage daily mail and correspondence. Anticipate and manage scheduling details and conflicts on behalf of the senior director.
  • Prepare correspondence, reports, gift agreements, and other necessary documents.
  • Manage incoming calls and messages for the senior director and return calls as appropriate.
  • Assist the senior director with various Office of University Advancement functions related to personnel and office management.
  • Work with various software packages including Word, Excel, PowerPoint, and the Advancement CRM system.
  • Perform other duties as assigned by the senior director of major gifts.

Qualifications:

Required: high school diploma, three years experience in office management

Preferred: some college or a bachelor's degree, five years experience in higher education or non-profit office management, Familiarity with Microsoft Office suite.
