Job Summary Under general guidance, the job performs a broad range of operational business activities relating to the design, planning, and execution of events and programming. Responsibilities Assists the Harris Events Office with the execution of a wide range of events hosted at the school, including but not limited to meetings, visiting lectures or speaker events, key student events, and other special activities hosted by Harris, its research centers and partners. Manages facility rental process for The Keller Center, home to Harris Public Policy. Communicates with interested parties, conducts site visits of the building, coordinates all logistics, provides onsite management. Keeps track of all expenses, prepares reports on costs, using existing procedures to solve routine problems as they arise. Serves as a power user and in-house expert for email deployment platform. Coordinate email communications, including the design, drafting and deployment of event invitations. Learns to be a systems 'power user' and in-house expert with a special emphasis on creating event registration sites. Manages facilities scheduling system and is the approver on event spaces, coordinating with Facilities staff to ensure all event needs are appropriately communicated. Compiles data to be used in event and program evaluation. Contributes to improvements by implementing ideas as they are identified, with general direction from others. Provides administrative support to Events Team, including but not limited to processing payments, managing master calendar and name badge processes. Maintains inventory of event supplies such as name badges and other-event related swag or materials. Track event supply borrowed by other Harris departments, such as custom Harris banners, linens and other event materials. Maintains guest lists and assists with mailing invitations and creating brochures for the event. Compiles data to be used in event and program evaluation. Contributes to improvements by implementing ideas as they are identified, with general direction from others. Performs other related work as needed. Minimum Qualifications Education: Minimum requirements include a college or university degree in related field. --- Work Experience: Minimum requirements include knowledge and skills developed through < 2 years of work experience in a related job discipline. --- Certifications: --- Preferred Qualifications Education: Bachelor’s degree. Experience: A minimum of one year previous experience in events, hospitality or operations. Preferred Competencies Professional demeanor, including tact, discretion, and a customer service-oriented approach to the job. Attention to detail, ability to work in complex environments, familiarity with data management tools a plus. Strong verbal and writing skills, high attention to detail and follow-up, and excellent organizational skills. Ability to multi-task and handle multiple priorities and constituents simultaneously and demonstrate grace under pressure when handling challenging or unexpected situation. Ability to work collegially and collaboratively in a team setting. Working Conditions Willingness to work some evenings and weekends.
