Department Overview
Energy and Sustainability supports efficient use of university resources and helps chart a path to fossil-free operations through its leadership and coordination across climate and energy, transportation, green building, zero waste, water and food programs and initiatives. We are leading a bold new effort to improve efficiency and change the sources of the energy that UC consumes through our energy services unit.
Position Summary
Uses proactive, detail-oriented approach to oversee and support a variety of operational and administrative efforts for the Energy & Sustainability Unit. Evaluates and executes a variety of assignments of moderate scope as the Sustainability Lead for UCOP facilities operations, including responsibility for Annual Sustainability Report data gathering of UCOP facilities' transportation emissions, zero waste progress, green building certifications, and water consumption. Ensures office operations, system-wide stakeholder meetings, administrative business processes and other events for the department run smoothly. Requests feedback from staff and campus clients to identify and implement new projects to improve department effectiveness, build cross-collaboration among groups and further UC's goals stated in the Sustainable Practices Policy. Demonstrates good judgment to independently select the means and methods to accomplish work and communicate effectively with clients and stakeholders.
Key Responsibilities
  • 40% Manages related issues and completes tasks supporting a variety of business, operational, energy, and sustainability matters on behalf of the department and UCOP. Researches, compiles, and summarizes notes, issues, policies and topics; provides background information, talking points and briefing materials; prepares reports for senior staff, system-wide and other officials; implements related business processes. Maintains and manages a comprehensive list of initiatives and assignments as the coordination lead and facilitator for regular meetings with UCOP facilities stakeholders.
  • 20% Supports the department and external stakeholders with campus client energy accounting and billing, travel planning and reimbursements, conference and training registration, meeting scheduling, invoice handling, supply ordering, check receipt processing, purchase order requests, website updates, ListServ maintenance, new employee on-boarding, and special projects as needed.
  • 15% Leads the UCOP-focused Annual Sustainability Report data gathering and reporting of facilities' transportation emissions, zero waste progress, green building certifications, and water consumption, in addition to responsibility for supporting the Office of Sustainability systemwide reporting.
  • 10% Acts as central point for coordination of event planning and stakeholder communication for system-wide Energy & Sustainability events, including the UC Global Climate Leadership Council, Sustainability Steering Committee, and Pathways to Fossil-Free Taskforce.
  • 10% Oversees and ensures daily administrative operations run smoothly and office resources are available for Energy & Sustainability staff to complete their tasks. Monitors the daily activities in the department and seeks out opportunities to provide assistance which may include the following functions: finance, facilities, payroll, space planning, human resources, communications, information technology or safety.
  • 5% Travels to UC campus and other meeting locations to provide logistical support in collaboration with the UCOP Event Services team on an approximately quarterly basis.
Experience

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
  • Strong organizational skills and attention to detail with the ability to multi-task in order to meet demanding timeframes.
  • Advanced proficiency in data management and reporting using standard business software, including Outlook, Excel, Word, and PowerPoint.
  • Ability to use discretion and maintain confidentiality.
Preferred Qualifications
  • Knowledge of common organization-specific goals and initiatives such as UC's Sustainable Practices Policy.

  • Bachelor's degree in related area and / or equivalent experience / training.
Special Conditions
This position is eligible for a hybrid work arrangement within the state of California. The person hired will be required to reside within California and report to work on-site at UC's Office of the President (UCOP) located in Oakland, CA at least two days per week, subject to change.
Travel Requirements
5% - Travels to UC campus and other meeting locations to provide logistical support in collaboration with the UCOP Event Services team on an approximately quarterly basis.
