Position Summary
Under general supervision, performs complex and varied administrative/secretarial
and clerical duties. Tact, poise, and judgment are routine requirements in
communicating with internal and external contacts, offices, and organizations.
Required to exercise independent judgment and initiative in resolving issues.

Job Functions

Essential Functions

  • Assists with a wide range of administrative, operational, educational, and secretarial
details and other social and business services.
  • Effectively communicates knowledge of Tribal Policies and programs, utilizing
independent judgment, knowledge, and interpretation capabilities.
  • Efficiently composes and prepares confidential correspondence, reports, and other
complex documents for the UAIC school administration.
  • Tactfully screens incoming calls and correspondences and responds independently
when possible.
  • Prepares memorandums outlining and explaining administrative procedures and

policies to community members, and school staff, and monitors compliance.

  • Manages arrangements of programs, and events (Family Development Night,
Graduation, Student Performances) by arranging for facilities and a caterer, issuing
information or invitations, and coordinating speakers.
  • Creates and maintains databases and spreadsheets files when requested by
administration, and staff.
  • Processes supply orders for the education department.
  • Processes the education department invoices/check requests.
  • Maintains student cumulative folders.
  • Obtains immunization records and birth certificates for new Kindergarten and
Preschool students.
  • Edits and prints all UAIC report cards utilizing student information systems.
  • Submits school honor roll submissions and documentation to Community Education
with accuracy and efficiency.
  • Schedules all parent-teacher conferences and communicates with all stakeholders.
  • Monitors students’ and staff’s attendance.
  • Manages all travel requests and processes for staff professional
development/conferences.
  • Monitors the Education Department budgets.
  • Assist with the annual budget preparation.
  • Prepares monthly finance reports for administration.
  • Coordinates with the Administration to complete budget modifications as necessary.
  • Creates and maintains positive relationships with other UAIC departments and staff.
  • Develop project plans; coordinate projects; communicate changes and progress;
complete projects on time and budget.
  • Writes reports, business correspondence, and procedure manuals.

Knowledge, Skills, and Abilities

Knowledge

  • Knowledge of appropriate contemporary administrative and secretarial practices.
  • Expertise in various computer software programs applied to specific tasks; ability
to create and maintain advanced Excel charts and spreadsheets; ability to utilize
Word template capabilities; ability to manage multiple calendars in Microsoft
Outlook.
  • Advanced knowledge of MS Office applications, including Word, Excel, Publisher,
Outlook, Adobe Photoshop, and InDesign.
  • Understanding of accounts payable function

with UAIC policies & procedures.
  • Ability to follow directions.
  • Ability to work collaboratively and efficiently with a diversified, multi-

dimensional community, staff, and constituent group.

  • Ability to work independently and collaboratively with various committees.
  • Ability to perform mathematic calculations quickly and accurately.
  • Ability to clear all necessary background checks.
Qualifications

Minimum requirements

  • High school diploma or equivalent
  • Five (5) years of administrative experience in a fast-paced environment
  • Excellent computer literacy, specifically experience with Microsoft Office,
including Word, Excel, Outlook, and Publisher

Preferred qualifications:

  • Associate or bachelor’s degree in a related field
  • Prior experience working with children.

Working Conditions
While performing the duties of this job, the employee is occasionally required to stand;
walk more than half a mile; sit; use hands to finger, handle, or feel objects, tools, or
controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or
crawl; talk or hear; and taste or smell. The employee must occasionally lift or move up
to 20 pounds. Specific vision abilities required by the job, with or without correction,
include close vision, distance vision, color vision, peripheral vision, depth perception,
and the ability to adjust focus.
