At Ultimate Heating & Air Inc, we rely on a meticulous financial system to drive our growing business forward. The Accounting Department keeps that system running smoothly by managing cash flow, paying vendors/suppliers, payroll, monthly reporting and many other tasks. We are searching for a skilled financial specialist to join our team for the accounts payable (AP) clerk/specialist to help process, track, and record payments in an accurate, efficient, and timely manner. The AP clerk/specialist will have a daily, ongoing impact on financial transactions, keeping us on track, on time, and on good terms with our valued partners.

Objectives of this role

• Support the growing company in optimizing its financial transactions and systems
• Strengthen and grow relationships with vendors and suppliers through timely payments
• Assist in streamlining and improving the accounts payable process
• Exercise integrity and confidentiality in financial reporting
• Process invoices with GAAP and Accrual Accounting in mind

Responsibilities

• Review invoices for appropriate documentation/approvals prior to entry
• Charges expenses to accounts and cost centers by analyzing invoices/receipts and recording entries
• Review pricing on select items from supply vendors monthly
• Perform invoice and general-ledger data entry
• Execute credit card and vendor account reconciliations
• Generate purchase orders when necessary
• Process weekly check run (assemble, review, print, obtain signatures, scan on all checks and payments)
• Maintain copies of documentation and other files as necessary
• Month End reporting on missing invoices and other reports, as requested
• Assist senior financial officers, controllers, and other management as needed
• Willing to continue to learn and grow with the company
• Willing to travel (as needed) to the Meridian office from the Kuna office

Required skills and qualifications

• High school diploma or equivalent
• Ability to multi-task
• Understanding of principles of finance, accounting, and bookkeeping
• Superb time management skills and detail orientation
• Ability to maintain confidentiality of company and partner information
• Fast learner, self starter with problem-solving skills
• Ability to sit at a computer for long periods of time and lift 25lbs on occasion
• Proven working experience as an Accounts Payable Clerk/Specialist
• Reliable transportation
• Flexible 40hr week with possible additional hours needed around the first of the month

• Experience with Sage Intacct and ServiceTitan
• Working knowledge of Microsoft Office and strong Excel skills
