Position Summary Working closely with the Executive Director, Donor Acquisition and Engagement and other members of the UI Health Advancement team, the Program Coordinator will provide project management and administrative support for a growing Advancement program, with a focus on donor relations, stewardship, and communications. The individual in this role will help implement project and content management tools, complete basic project management functions, and provide a variety of administrative support services. Duties & Responsibilities
Work with the Executive Director and other team members to establish a project management system (using Wrike or a similar user-friendly application) including defined workflows and content approval processes.
Document step-by-step instructions for various department functions, to aide in cross-training team members.
Monitor progress for special projects and send reminders about key deliverables to keep work-plans on track.
Serve as a liaison with third party vendors.
Manage scheduling, aligning calendars across departments and units.
Attend to the logistics of meetings, including gathering documents, keeping minutes, and preparing agenda materials.
Compose letters and routine correspondence.
Prepare and submit expense reports.
Maintain records of expenditure and assist with budgeting and financial reporting.
Proofread and copy edit materials, ensuring they are high-quality and free of errors.
Build plug-and-play templates for standard reports and donor communications.
Assist with updating donor records in the database and other record-keeping as needed.
Assist with special campaign and event logistics as needed.
