Position Summary:

The Division of Finance and Administration (DFA) provides services and support to over 50,000 students, faculty, and staff with the mission of serving as planning partners, problem solvers, and solution providers to manage UC Irvine’s financial and physical resources effectively and efficiently in support of its academic, research, service, and heal missions; and the vision of advancing UC Irvine’s strategic goals and priorities through leadership in resource management, sustainability, and innovation while fostering a commitment to inclusive excellence. The Program Development & Execution Department (PDE) is proud to support DFA; which is focused on continuous process improvement in delivering excellent and ever more efficient service to our clients. Our goal is to make a significant increase in quality and productivity across DFA and across campus. Through campus wide collaboration, we continuously focus on maintaining a safe and attractive environment for students, faculty, staff, and visitors; ensuring buildings and other infrastructure perform efficiently and are well maintained; and providing professional services in the areas of accounting, purchasing, risk management, safety, and transportation. The PDE team manages a variety of projects in order to improve efficiencies, improve customer service delivery, or realize cost savings. New initiatives are explored and analyzed in order to make recommendations to campus leadership. Develop solutions on a wide range of issues in support of key initiatives of the CFO/VC Offices, such as space and scheduling solutions for hybrid workforce planning; End to End review of Procurement processes; and support committees such as the Administrative Leadership Form.

Will provide support to the PDE department to support strategic planning, initiatives, and continuous process improvement projects using skills as a seasoned, experienced professional with a full understanding of analytical practices, policies, and procedures. Performs research, analysis, meeting coordination, policy documentation and input to develop solutions, proposals, and presentations to support the multiple initiatives, process improvement projects and program implementations across the department, as well as campus-wide initiatives. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Primarily deals with policies, programs, and proposals with varying levels of complexity in nature and diverse in scope for DFA, the Office of the CFO/Vice Chancellor, the department, or the campus. Develops new programs, policies, or procedures for possible implementation.

$66,690.72 - $118,494.00 (Annual Salary)

Required:

3 or more years in customer service / team environment, with 2 years minimum in a complex office environment 2 or more years’ experience preparing guidance documents, including policies memos, business processes, and various communications for varied audiences.

Bachelor's degree in related area and / or equivalent experience / training.

Knowledge of common organization- or research-specific and other computer application programs, including Microsoft Office Strong communication and interpersonal skills to communicate effectively, both verbally and in writing and across broad audience levels Ability to use discretion and maintain all confidentiality. Analytical / problem-solving skills Strong skills in analyzing, researching, and synthesizing large amounts of data for preparing sound and relevant proposals / analyses, reports, and presentations and adapt for varied audiences. Ability to multi-task with demanding timeframes, for multiple projects concurrently. Must demonstrate the ability to develop proposals and recommendations to guide and support projects and initiatives. Must be able to perform a full range of responsibilities including scheduling meetings, gathering information, drafting agendas and various meeting materials, conducting research on project-related topics, drafting reports, timelines, action items, and presentations, and delivering results and recommendations.

Strong policy analysis techniques.

Special Conditions Required:

Some projects will require working beyond the normal working hours schedule to complete project deadlines. Hybrid schedule to include both on-site and remote work days.
