Two Pines Properties is Hiring a Bookkeeper/Executive Assistant Near Big Sky, MT

Job Description:

Two Pines Properties is seeking a highly qualified Executive Assistant and Bookkeeper. This person should be highly organized, and have bookkeeping experience along with Executive Assistant or Office Management experience. This role will have two primary responsibilities:

  • Bookkeeping, organizing, and coordinating accounting items with our remote accounting team.
  • Executive Assistant to the CEO (Alex) COO/CGO (Wes) GM (Paul)

Key Responsibilities1. Bookkeeping:

  • Aid in collection of rent; third party tenant or employees
  • Aid in collection and return of security deposit; third party or employee
  • Aid in payment of rent share to property owner and providing monthly financial summaries to owner
  • Invoice property owners
  • Follow up on overdue or account balances with owners, tenants, and vendors
  • Work with GS and Reservations to make sure that each guest’s folio is zeroed out 60 days before stay
  • Manage and Organize all entries into Dext and Bill.com. Coordinate with Owner Services to ensure the charges are getting on the owners statements
  • Process and pay invoices, bills, and vendor expenses and work with Adams Brown and Owner Services to make sure they are sent to Adams Brown rep (Adam), recorded correctly, and billed to the Owner.
  • Provide Adams Brown with information to complete this monthly task

2. Administrative Support:

  • Open up mail that could be invoiced/payments and process them accordingly
  • Separate owner personal and employee mail
  • Mail out client and vendor payments on a monthly basis and any other mailings requested
  • File and process other mailings like w2 copies, 1099s, etc.
  • Maintain records for audits and provide necessary documentation
  • Notify employees of benefit availability and manage the enrollment process
  • Work with vendors to make sure our payments are timely; invoiced work is accurate amount
  • Make sure that vendor expenses (either billed back to the owner, operations, or Ozark State expenses) w9’s are collected
  • - Bachelor’s degree in Accounting, Finance, Business Administration or other related field preferred but not required.- Proven experience in bookkeeping, preferably in the hospitality or real estate industry.- Strong proficiency in QuickBooks and familiarity with property management systems like Track.- Excellent analytical, problem-solving, and decision-making skills.- Strong attention to detail and ability to work under tight deadlines.- Excellent communication and interpersonal skills.- Ability to maintain confidentiality and handle sensitive information with discretion.
  • - Proactive attitude with a willingness to take initiative and solve problems independently.
  • - Experience in property management or real estate industry is a plus but not required.

REQUIREMENTSMust be 21 years of age or older.

Must have a valid driver's license.

Must be able to speak, read, write, and understand primary English.

Must be able to read and write to facilitate the communication process.

Requires good communication skills, both verbal and written.

Must possess basic computational ability.

Must be able to learn technology associated with the job

Must be very detail-oriented

Must be able to meet deadlines

PHYSICAL DEMANDS

Requires grasping, writing, standing, sitting, walking, repetitive motions, listening and hearing ability and visual acuity.

Talking and hearing occur continuously in the process of communicating with team members and supervisors.

WORK ENVIRONMENT

Monday - Friday 9:00 AM to 5:00 PM at 99 Lone Peak Drive, Big Sky, MT

Must be able to work effectively in a stressful environment, communicate with others, effectively deal with customers, and accept constructive criticism from supervisors.

Must be able to change activity frequently and cope with interruptions.

Must be a self-starter and able to work independently.

Job Type: Full-time

Pay: $30.00 - $31.00 per hour

Expected hours: 40 per week
