Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant with a great smile to join our team. You MUST have a professional apearance, superior customer service skills, be punctual, dependable, organized, well-groomed, and have a positive attitude to help all of those you have the opportunity to work with. Responsibilities include greeting patients in person and on the phone, collecting payments, scheduling, taking Xrays (after certification), postural assessment, setting up health talks, office appearance/cleanliness. Must love health, wellness, dogs and kids. Allergy patients-no scents of any kind allowed. Spanish speaking a bonus. Must be able to travel 2-3x/year for training. Train 2 weeks initially at $17/hour outright with $300 bonus given with basic tasks mastered at end of 2 weeks. Thereafter: $18-23/hour depending on experience; easily $22-25/hour with bonuses. Get paid for 35 hours/week and actually work in-person approximately 28-32 hours/week. Advancement to Assistant Office Manager a large possibility after 6 month goal assessment. Must be available Monday, Wednesday and Thursday 8:45-12:30pm, 2:30-6:30pm; Tue 2:30-6:30pm, and some Saturdays 8:45am-12pm. Must live in the Aurora/Parker area with dependable transportation. Drop off resume in person during normal business hours. Very basic filing/math assessment given.
As an Administrative Assistant, you will play a crucial role in supporting our office operations and ensuring smooth day-to-day functioning. This is a part-time position with opportunities for growth and advancement.
Responsibilities:
- Provide administrative support to the team, including managing calendars, scheduling appointments, and coordinating meetings
- Answer phone calls and respond to inquiries in a professional and courteous manner
- Greet visitors and direct them to the appropriate person or department
- Assist with document preparation, data entry, and filing
- Manage office supplies and inventory
- Assist with event planning and coordination
- Perform general clerical duties such as photocopying, scanning, and mailing
- Handle sensitive information with confidentiality
Skills:
- Previous experience in a medical office or dental office setting is preferred
- Strong organizational skills with the ability to prioritize tasks effectively
- Proficient in using front desk phone systems and handling multiple phone lines
- Excellent customer service skills with a friendly and professional demeanor
- Ability to multitask and work well under pressure in a fast-paced environment
- Strong attention to detail and accuracy in completing tasks
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent written and verbal communication skills
