TN Voices is Hiring an Executive Assistant Near Goodlettsville, TN

Qualifications: Bachelor’s degree in business, Administration, or equivalent professional level experience. Minimum of three years experience in office management or equivalent related functions. Non-profit organization experience and work history within child serving systems preferred.

· Ability to travel, access to reliable transportation, and current auto insurance required.

· Access to reliable home internet service required.

Duties & Responsibilities/Principal Activities:

· Demonstrate enthusiasm for all services of TNV and be fully knowledgeable about the regions where services are provided, and benefits of TNV services.

· Provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.

· Maintain and refine internal processes that support the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow

· Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks.

· Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.

· Manage professional and personal scheduling for COO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.

· Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives.

· Manage, coordinate, and arrange senior executives’ travel and travel-related activities.

· Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database.

· Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.

· Organize team communications and plan events, both internally and offsite

· Productive back up support for security of buildings.

· Complete required safety checks for the TNV corporate office building.

· Maintain inventory and ensure timely and accurate ordering of supplies for the corporate office.

· Development and implementation of designated projects to support clerical/administrative improvements.

· Monitors and disseminates correspondence received via email, fax, or postal service.

· Provide general administrative support to remote office administrative staff when necessary.

· Support HR Department needs and maintain confidentiality of all records.

· Coordination and support of agency functions and events.

· Ensure proper front desk coverage and act as a back up to the Intake and Referral Coordinator.

· Other duties and/or tasks as assigned.

Job Type: Full-time

Pay: $28.00 per hour

Expected hours: No less than 40 per week
