TLINGIT HAIDA REGIONAL HOUSING AUTHORITY is Hiring an Administrative Assistant Near Juneau, AK

I. Summary:

The Program Administrative Assistant will provide a full range of customer services in administrative, informative, and /or programmatic functions. These services are based on established procedures, precedents, and policies with Tlingit Haida Regional Housing Authority (THRHA) Programs.

II. Authority:
The Program Administrative Assistant Reports to the Director of Housing Support Programs.

III. Duties and Responsibilities:
  • Develop an understanding of all THRHA programs, what the programs offer, and eligibility requirements.
  • First point of contact, screen all eligible programs that meet the client’s needs.
  • Provide a full range of customer services for the Housing Support Programs by assisting prospective clients and co-workers by explaining steps, appropriate forms, procedures, and program requirements for services.
  • Respond to requests for information from the public or employees by answering the phone, Tribal Repairs email account, and THRHA social media posts (Facebook, twitter, etc.) and/or forwarding to appropriate staff to respond.
  • Responsible for follow-up with appropriate staff on requests that are submitted via phone, email, or social media.
  • Receive, review, and compare documents, forms, or applications for completeness and accuracy.
  • Responsible for calculating and/or verifying income eligibility.
  • Assist with maintaining database for Housing Support Programs including the Energy Assistance program.
  • Perform complex data entry tasks for which there is a moderate variation of formats and procedures and with general instructions for coding and entering data, check and correct entry for input errors.
  • Photocopy documents, collate, and assemble documents.
  • Gathers and records statistical information for reporting purposes.
  • Prepares and assembles large mail-outs of program materials.
  • Ensure that department invoices are paid timely.
  • Assist with travel arrangements for department staff and ensure that all travel is entered into software for processing.
  • Maintain department controlled asset list, work with the Property Control Specialist to document and tag appropriate assets.
  • Monitor and maintain office supplies and materials.
  • Represent THRHA at various community events, coalitions, and resource fairs which requires interacting with clients and partners.
  • Maintain all files and records in accordance with regulatory and THRHA policy
  • Other related duties as assigned.
IV. Required Knowledge, Abilities and Skills:
  • Ability to work independently and perform assignments with moderate direction.
  • Ability to read, comprehends, explain, and apply written procedures.
  • Strong organizational, time management, and problem solving skills
  • Excellent verbal, listening, and writing skills.
  • Ability to compare data from two or more sources for accuracy and completeness.
  • Excellent customer service.
  • Ability to maintain confidentiality.
  • Ability to coordinate multiple projects simultaneously.
  • Working knowledge of any database software and the use of computer systems (THRHA uses Salesforce, Sage Intacct, and MS Office Suite software).
  • Minimum typing speed of 40 words per minute.
  • Ability to move or lift an item weighing up to twenty pounds
V. Minimum Qualifications:
  • High School Diploma or GED,
  • 2 year of experience performing duties related to office or administrative support.

THRHA is a drug-free workplace and selected applicants will be subject to drug testing.

Native Preference per 24 CFR 1000. COVID-19 vaccination is required to work with THRHA.
