The Union League of Philadelphia is Hiring a Program Coordinator Near Philadelphia, PA

Job Title: Program Coordinator, Founding Forward, Full-time
Reporting to the Chief Learning Officer, the Program Coordinator manages the details of Founding Forward’s educational programs for League members and the general community. This position ensures the smooth execution of speaker programs, League House tours, teacher programs, and more. The coordinator works with the Founding Forward team, volunteer leaders, and Union League staff. This is a full-time position, with limited remote work. Schedule is weekday, business hours, with one work night each week and occasional weekends.
Founding Forward is a non-profit charity that fosters an immersive civic education experience for students, teachers, and citizens through an array of in-person programs, historic resources and collections, scholarships, awards, speaker programs, exhibits, and other unique learning opportunities. Founding Forward has two locations – a 75-acre campus in Valley Forge and the Sir John Templeton Heritage Center – a research, exhibit and event space, within the historic Union League building in Center City Philadelphia. This position will work primarily from the Center City location but may be required to assist with programs at other locations.
Responsibilities
  • Organize, execute and run programs, and meetings within a busy building and calendar.
  • Coordinate logistical details for 25/30 speaker programs annually, including speaker arrangements, book sales, registration, etc. Programs are once/week in the evening.
  • Manage tours of the historic League House, including requests, scheduling with docents and staff, execution of the tour, and other necessary details.
  • Organize the docent program, including scheduling training, recruiting, and more.
  • Assist in the development of an annual educational exhibit for the 1,000 square-foot gallery space in the Sir John Templeton Heritage Center and its related educational materials and programs.
  • Coordinate and manage volunteers for various projects.
  • Support the education team as needed with programs across both campuses when needed.
  • Assist with developing communications around educational programs.
  • Manage program calendar, implement program curriculum, and other tasks as needed.
The ideal candidate for this position will have excellent administrative skills with great attention to detail and follow through, strong communication skills, and the ability to multi-task and manage systems. In a fast-paced environment, the successful candidate will exhibit good judgment under pressure and proactively work to support operations. A collaborative nature is critical. Candidates should be able to interact effectively with all levels of staff, Union League members, Trustees, the general public, students, teachers, and others.
Qualifications
  • Bachelor’s degree required.
  • Demonstrated belief in Founding Forward’s mission and values.
  • Self-starter who is willing to take initiative, but also works well within a team and takes direction from other staff and volunteer leaders is essential.
  • Excellent office and computer skills, with proficiency in Microsoft Office and Google required; experience with Salesforce (or other CRM) and digital forms (like Gravity Forms) highly encouraged.
  • Demonstrated experience in coordinating activities and events
  • Excellent verbal and written communication skills
  • Ability to prioritize and complete tasks in a timely manner
