Job Summary:

The Administrative Assistant facilitates the operation of the Rental department by performing a variety of clerical and administrative tasks. Performs administrative/clerical duties for the Director of Sales, General Sales Manager, Taylor Leasing & Rental Manager, Coordinators, and Regional Sales Managers. This position exists for administrative duties required across the Taylor rental division.

Duties/Responsibilities:

  • Invoices all used and rental equipment (includes using customer portals)
  • Update invoice information daily with any required changes (PO’s, taxes, credits, etc.)
  • Responsible for obtaining and billing hourly machines.
  • Closely monitors rental contracts and used sales.
  • Communicate professionally with confidence, to co-workers and customers.
  • Assist with keeping TLR administrative system current.
  • Assist with coordination of TLR Equipment.
  • Answers and transfers phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Assists in monthly reporting.
  • Maintains filing systems as assigned.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Schedules travel, meetings, and appointments for managers or supervisors.
  • Prepares agendas and schedules for meetings.
  • Records and distributes minutes or other records for meetings.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Performs other related duties as assigned.
Requirements

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.

Education and Experience:

  • Associate degree preferred or three to five years’ experience in an administrative role.
