The Tatitlek Corporation is Hiring a Document Management Administrator with Security Clearance - Now Hiring Near Arlington, VA

Overview The Document Management Administrator functions as the document management team's technical point of contact for on-site meetings at the senior/ executive level, manages project tasks, and tracks and reviews deliverables. The incumbent will oversee the file management process, file scanning technology, scanning services, digital document delivery, and scanning policies and processes. Relationships: The Document Management Administrator will receive direct government oversight, assignments, and directions from the Government Office/ Program Director or Division Chief, through an assigned team leader. Duties and Responsibilities: Technical Expertise, Delivery, and Support: • Provides subject matter expertise on best practices for records management and archiving of sensitive federal agency documentation • Supports both physical and electronic file inventory, creation, delivery coordination, and tracking, and improves processes to accomplish these activities • Performs the preparation and scanning of active security documentation and assists with the destruction of digital files that have met their retention • Provides daily direction and technical and analytical guidance to the team as needed to respond to customer requests and resolve problems • Performs checks on the scan quality and OCR quality of processed documents and prevents classified spillages by reporting appropriately • Assigns relevant metadata based on document content Project Planning and Team Management: • Reviews, updates, and maintains File Scanning Plan, Physical File Management Plan, and Standard Operating Procedure documentation • Provides management oversight for the scan technicians team, monitors product quality and performance, performs scan operations, and develops process improvements for scan operations to ensure project requirements are being met • Conducts project meetings in conjunction with the Senior Records Management Team Lead and is responsible for project tracking and analysis • Interfaces with all areas affected by the project including end users, computer services, and client services • Manages the integration of vendor tasks and tracks and reviews vendor deliverables to ensure adherence to quality standards • Develops detailed work plans, schedules, project estimates, resource plans, and status reports • Trains new scan team members on scanning procedures and assists with creating and updating training materials and other job aids • Ensures project scope and objectives are clearly stated and monitors daily workflow and production metrics to ensure project requirements are being met • Monitors and processes requests and provides timely delivery of digital files to client stakeholders • Captures and analyzes scan operation metrics to develop process improvements for scan operations • Participates in team meetings, process planning sessions, security reviews, briefings, and training as required Professional Qualifications and Skills: • Citizenship - U.S. Citizenship required • Education - High School Diploma or GED equivalent. Preferred: Associate degree • Experience - Five (5) to ten (10) years of professional experience working directly with federal government customers. Preferred: Department of State experience • Self-motivation and strong attention to detail • Exceptional project management skills and experience • Strong ability to prioritize, manage a large team, determine workload and proper distribution of work, and ensure time management for efficiencies • Excellent organizational skills, computer skills, and problem-solving skills • Professional experience with quality control • Strong work ethic and strong focus on quality • Excellent client relationship and interpersonal skills • Excellent writing skills and command of the English language • Proficiency in Microsoft applications, including Word, PowerPoint, and Excel Clearance Requirement: Position will be subject to a U.S. Government Security Investigation. Incumbent must possess or obtain/maintain a minimum a SECRET clearance, up to a TOP SECRET clearance as requested by the program. Interim clearances may be accepted by the COR with Government Program Manager's approval. Additional Qualifying Factors: As a condition of employment, must pass a pre-employment drug screening, as well as have acceptable reference and background check results. In accordance with Executive Order 14042, a candidate for this position may be required to provide proof of vaccination status for COVID-19 and will be subject to the provisions and/or exceptions of EO 14042 and applicable law.
