Your Specific Responsibilities:

This Administrative Assistant position is responsible for providing clerical support for the Area 11B HIV/AIDS program, contracted providers, and clients. The employee will work directly with the Ryan White Program and will be a liaison with other HIV/AIDS and public health programs. The position is under the direct supervisor of the Public Health Services Manager (Area 11B HIV/AIDS Program Coordinator). The incumbent will maintain professional working relationships with departments, agencies, and community members.

  • Acting as ADAP program backup. Duties include screening, updating and enrolling clients in ADAP. Distribute medications to clients. Document and data entry and data upload in Provide system.
  • Prescreening clients for Medicaid. Prescreening clients for health insurance. Financially screening clients for Ryan White Part C eligibility/share of cost prior to clinic medical visit using CareWare data. Uploading required documentation into CareWare and HMS within 5 working days.
  • Performing routine review of client files and CareWare reports to ensure that clients are documented as needed for state/federal reporting and maintains share of cost payment files on new and existing enrollments on an ongoing basis. Coordinating with case management and clinical staff to ensure that HMS and CareWare data is current and client files are closed out in a timely manner when a client relocates or is deceased.
  • Preparing download of notices of eligibility and insurance update information in HMS from CareWARE.
  • Fostering communication among all internal and external program elements to coordinate entry to care; initiating internal and external communication with all points of contact such as linkage to care consultant, ADAP program coordinator, medical case manager, STD counselor, other local Aids Service Organization (ASO) services; making appointments for the various points of contact as appropriate.
  • Other duties as assigned.

Required Knowledge, Skills, and Abilities:

  • Knowledge of office procedures and practices.
  • Knowledge of the principles and techniques of effective communication.
  • Skills in the use of Microsoft Office to include Word, Excel, PowerPoint, Outlook.
  • Ability to effectively communicate verbally and in writing.
  • Ability to understand and apply applicable rules, regulations, policies, and procedures.
  • Ability to deal with the public in a tactful and courteous manner.
  • Ability to perform basic arithmetical calculations.
  • Ability to work independently.
  • Ability to utilize problem-solving techniques.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to establish and maintain effective working relationships with others.

Qualifications:

Minimum

  • Driver's license, if out of state a Florida Driver's License is required within 30 days of hire.
  • Required to travel out of county 0-25% of time per week.
  • Two years clerical experience

Preferred

  • Associate or higher degree in health science or related field
  • Bilingual or multilingual in Spanish and/or Haitian Creole
