The Resource Center has been providing services to persons with disabilities in the Chautauqua County area since 1958. From our humble beginnings as a gathering of parents and concerned citizens who wanted to provide educational and training opportunities for persons with developmental and intellectual disabilities, The Resource Center has grown into a comprehensive agency providing services to thousands of persons with all types and levels of disabilities.
The Resource Center is the largest non-governmental employer in Chautauqua County with more than 1,300 employees on its payroll.
The mission of The Resource Center is to support individuals with disabilities and other challenges in achieving maximum independence, contributing to their community, experiencing lifelong growth, and enjoying quality of life.
Assistant Executive Director ADMINISTRATIVE ASSISTANT/QA/QI EXECUTIVE OFFICE
RESPONSIBLE TO: Assistant Executive Director for QA/QI
FUNCTION:
Provides executive and management support requiring a high degree of confidentiality and autonomy and enhances executive's effectiveness by providing information management support and representing the executive to others. Effectively utilizes computer applications and adapts to new technology with minimal assistance.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Thorough knowledge of office management including excellent telephone skills, competence in word processing with at least 60 wpm typing skills; ability to use Power Point and Excel. Excellent corporate and administrative meetings’ recording and transcription skills. Demonstrated capacity of handling extremely confidential information in a trustworthy manner. Excellent organizational and time management skills. Ability to maintain the smooth functioning of the Executive Office, including making and carrying out independent decisions, with or without supervision. Excellent verbal and written communication skills. Ability to interact with the entire Management Team as well as with community, State and Federal pertinent individuals and entities on a professional basis on behalf of the Assistant Executive Director. Physical condition commensurate with the demands of the job.
MINIMUM QUALIFICATIONS:
High school diploma/GED plus four (4) years of related experience. Note: Associates or bachelors degree can substitute for experience on a year for year basis.

DUTIES:
1. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
2. Organizes and maintains filing and retrieval systems concerning policies, minutes and follow up for meetings.
3. Provides preparatory support for committees and work groups including but not limited to:
  • information gathering
  • scheduling
  • taking and transcribing meeting minutes from manual dictation
  • retrieving and maintaining information from electronic health records
4. Maintains executive's appointment schedule by planning and scheduling meetings, conferences, and teleconferences.
5. Assists with development, maintenance and dissemination of Health Care Guidelines, Health Information Sheets and Nursing Policy and Procedure.
6. Maintains and updates organization and regulatory procedures and information. Interfaces with the computer department to facilitate policies and procedures being placed on the Agency website and ensure updates are initiated in a timely manner.
7. Maintains customer confidence and protects operations by keeping information confidential. Maintains confidentiality of transactions.
8. Prepares reports by collecting and analyzing information.
9. Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
10. Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
11. Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
