Department: Office of the Clerk

SUMMARY
This position provides executive administrative support to the Clerk of The Mother Church and operational support to the Office of the Clerk. The position requires a high level of professionalism, administrative skill, initiative, flexibility, and confidentiality. The position also requires strong verbal and written communication skills. The incumbent must have a solid grasp of the mission of the Church, Church policies and the Church Manual. Metaphysical poise and prayerful support are essential.

Executive administrative support to the Clerk

  • Calendar management, including scheduling and tracking meetings; providing related materials
    and arranging logistics; troubleshooting schedule conflicts sometimes under time-sensitive
    conditions; partnering with other Executive Assistants and others across the organization to
    coordinate meetings.
  • Project management on behalf of the Clerk for projects and initiatives.
  • Provides Clerk-approved, in-house copy editing support for all communications from the Clerk’s
    Office.
  • Reviews incoming correspondence, drafts letters, and ensures the timely resolution of all
    inquiries. Maintains correspondence file.
    Log all incoming items into the correspondence database.
  • Track correspondence drafts and responses, including those in collaboration with other
    departments.
  • Facilitate and document special mailings, including all mailings through the Clerk’s Office.
  • Timely closing out of correspondence into appropriate records.
  • Coordinates membership communications––English and translated––both for email and website.
  • Participates in office activities and communications including day-to-day office administration,
    office processes and technology, training, and in-house and offsite meetings for the Clerk.
  • Manages metaphysical group assignments given to the office and related retreats.
  • In collaboration with the Treasurer’s Office, coordinates the budget process and prepares
    financial records for the Clerk’s review and final approval.
  • Assists with technology needs including maintaining website information pertaining to the Office
    of the Clerk.
  • Manages day-to-day relationships with departments across the organization such as Human
    Resources, Journal Sentinel Herald, Mary Baker Eddy Library, Site Services, and the Treasurer’s
    Office.
  • Coordinates and plans travel details for the Clerk.

Operational support to the Office of the Clerk

  • Coordinates aspects of the personnel activity in the Office of the Clerk, onboarding, and exiting;
    supports adherence to appropriate guidelines; coordinates and assists with special projects.
  • Coordinates onboarding and exit procedures, communication, and assistance with Readers of The
    Mother Church.
  • Serves as administrative liaison for Readers and other departments i.e. Real Estate Planning and
    Operations
  • Facilitates updates, revisions, and distribution of the Readers’ Guidelines.
  • Coordinates aspects of the budget process; updates and advises the Clerk on all budget-related
    activities. Also attends monthly budget meetings with FP&A.
  • Coordinates the processing and recordkeeping of all invoices, honoraria payments, and expense
    reports, both domestic and international. Oversees purchasing activities for the office.
  • Troubleshoots and responds to issues, maintaining process and procedures, and partnering with
    service departments regarding:
    • Technology - Coordinates authorized changes to permissions and access, hardware and
      software requests; troubleshooting issues; ensuring smooth operation of and training on
      shared equipment.
    • Facilities - Coordinates resolution of needs and issues for the office and sixth floor.
    • Security - Coordinates building and department access, and safety and emergency
      preparedness.
    • Records Management - Supports compliance with Records Retention File plans.
    • Mailing Services - Provides mailing and shipping support in the office, as needed
    • Supplies - Purchasing items to maintain inventory and filling requestsWorks in cooperation with the Healing Response Team.
  • Supports other departments in fulfilling Church Manual requirements in their communications
    with TMC members and with Annual Meeting.
  • Monitors and maintains office and kitchen supplies for the sixth floor.
  • Performs miscellaneous tasks and fulfills responsibilities as assigned.

Operational support of Online Testimony Meeting

  • Attends online meeting in studio in support of Clerk and Producer.
  • In cooperation with Producer, contacts testimony writers with clarifying questions as needed.
  • Serves as alternate Producer as needed.

This position has regular contact with Church officers, employees, managers, Coordinating Managers,
Church members, and the public.

JOB REQUIREMENTSEducation/Experience
This position requires a Bachelor’s degree and 3-7 years equivalent work experience. Strong
administrative and technical skills necessary and project management experience preferred.
Knowledge/Skills
This position requires project coordination skills, excellent oral and written communication skills, strong
problem solving skills within the Clerk’s office and with other departments. Possesses the ability to work
with staff, senior management, and teams across the organization with ease, demonstrating proactive
reasoning to anticipate needs and discern matters of priority as well as to identify issues and follow
through to resolution. Demonstrates a clear understanding of confidentiality and metaphysical support.
Executive administrative support skills are required.
Technology Skills
The position requires a working knowledge and facility with current office software for calendars,
documents, spreadsheets, presentations, databases and technology in general as well as demonstrating a
technical problem-solving thought process.
Work Environment
This position regularly works in an office environment.
