This role will require interaction with both tenants and team members covering all facets of the One World Trade Center Property Management Office. The Property Coordinator will be responsible for ensuring smooth operations for internal and external clients. Sound judgment is required to plan, prioritize, and organize a diversified workload to ensure the delivery of high-value support and related services.
• Develop and coordinate monthly tenant town halls including but not limited to working with managers, department heads, Well& by Durst, and community partnerships to develop content and procure guest speakers for the building community.• Schedule and organize activities, such as group or individual tenant training on Aware Manager, Building Policy, and Procedure, VS3, Genea, VMS, and events held within tenant space to ensure proper compliance with Port Authority of New York and New Jersey rules and regulations. • Prioritize, organize, prepare, and distribute internal/external documents, including contracts, purchase orders, work orders, process weekly Property Management Office meeting minutes, weekly operations reports, and service requests.• Ensure accurate maintenance of digital and paper documents and databases for efficient retrieval and disposition which will include Hierarchy, working files, and DocuSign. • Perform monthly CTT postings, tracking status of critical documents, responsible for all OWTC and Durst Broadcast accounts payable functions including processing invoices within workflow, and tracking contractual expenses. • Act as liaison with building tenants and other OWTC departments as necessary.• Establish relationships with vendors to address payment inquiries. • Carry out routine tasks with little supervision and support special projects as needed.• Maintain discretion in the handling of confidential information.• Possess the ability to work in a high tempo integrated team environment including but not limited to the PMO, Fire / Life safety, Building Services, Security, Security IT, Construction Department, Durst Broadcast, Collections Department, Accounts Payable, and the OWTC Corporate Office. • Serve as a resource, advocate, and catalyst for sustainability at The Durst Organization. • High School diploma or GED required.• College Degree or relevant office administration program certification preferred.• Minimum of 4 years of related experience.• Ability to interact effectively with diverse groups.• Ability to work independently and in team settings.• Possess a high level of attention to detail.• Effective oral and written communication skills.• Maintains a professional demeanor. • Intermediate to advanced proficiency in Microsoft Office applications, such as Word, Excel, Outlook, PowerPoint, Aware Manager, DocuSign, VS3.
Salary Range: $70,000 - $80,000
