The Berg Group is Hiring a Project Coordinator Near Austin, TX

Summary

The Construction Project Coordinator will plan, organize, and direct the activities of projects, under the direction of a Senior Project Manager/ Regional Operations Manager. The Project Coordinator will work directly with their Market’s Project and Field Teams to ensure professional and profitable execution of the project(s) from project development, startup though final payment. The Project Coordinator will support their team by maintaining the project flow through various administrative tasks and provide exceptional communication with the clients as well as their internal team members. In addition, the Project Coordinator will support the estimating and preconstruction efforts by managing bid invites and proposal requests.

Essential Functions

Preconstruction/Estimating/Sales

  • Maintain Bids and Prospects spreadsheet bid calendar.

  • Download, split, and rename bid plans.

  • Assist the Project Manager and Estimator with the coordination of the pre-construction meeting.

  • Assist Project Manager with filling out Bid Submittals forms, as needed.

  • Assist with preparing submittal package.

  • Setup job in Plexxis and provide the Accounting Department with job startup information.

  • Change order management and administration.

  • Daily, weekly, monthly labor forecasting and tracking.

  • Track and communication of material order status.

  • Track equipment requirements.

  • Submit request for Insurance Certificates.

  • Assist the Project Manager in preparing schedules and ensure appropriate filing and paperwork.

  • Site visits are required to maintain proper site and project execution.

Production/Execution

  • Upload and maintain current project documents on PlanGrid.

  • Maintain and manage project file organization on server.

  • Maintain daily progress reports and production reports.

Administrative/Office Management

  • Answer phone calls and direct calls to appropriate parties or take messages.

  • File and/or gather corporate documents, records, and reports.

  • Works with Superintendent(s) to communicate to market’s Union(s) regarding wage/benefit referral letters and intent to hire letters.

  • Conducts project-based research.

  • Manage office-related mailings (FedEx and USPS).

  • Order/replenish office supplies; primary contact for office-related external vendors.

  • Leads management and maintenance of the office equipment, i.e., copiers, printers, coffee maker.

  • Maintains shared office space, conference rooms, and kitchen(s).

Closeout

  • Archive project documents.

  • Customer-centric and professional approach to internal/external customers.

  • Maintains a high degree of confidentiality in all aspects of the role.

Strategic Vision

  • Participates in the development and execution of Berg’s strategic and business plan including achievement of key objectives.

  • Establish and develops relationships with employees, including the company management team, as well as external partners and stakeholders.

  • Support and continuous improvement of Berg’s high-performance culture.

  • Provide visionary leadership for new ideas and approaches and humbly welcomes ideas to innovate and better Berg from all levels of the organization.

Leadership

  • Develop trust and maintain a collaborative and supportive leadership presence with your Project Management team.

  • Participate in and support recruitment, hiring, onboarding efforts as appropriate to develop an exceptional regional team.

  • Foster a collaborative culture that enhances employee satisfaction, engagement, and results-orientation while encouraging innovation and creativity.

  • Provide time for regular and effective 1 on 1 meetings with all direct reports.

  • Coach, mentor, and collaborate with direct reports regularly.

  • Establishes and achieves specific, measurable, and obtainable objectives that support Berg's overall growth and profitability objectives while creating client, employee, and company success.

Experience and Qualifications

Minimum Qualifications

  • High degree of financial acumen
  • Proven ability to communicate openly and have important conversations, both internal & external.
  • Strong organizational skills; attention to detail.
  • Basic presentation skills to represent information and updates in a group setting.
  • Ability to navigate and comprehend complex construction documents i.e., blueprints.
  • Ability to multi-task and prioritize in a fast-paced and dynamic work environment.
  • Strong work ethic.
  • Problem solving mindset.
  • Strong computer skills; proficient in MS Excel, MS Word, and MS Outlook.

Preferred Qualifications

  • Technical Degree, Bachelor’s degree or currently pursuing a Degree in Construction Management or similar or 5 years of relevant experience.
  • 1-2 years of related experience in commercial construction (internships).
  • Base knowledge of document editing software i.e., BlueBeam, Adobe Acrobat, Plan Grid, Plexxis.
  • Industry knowledge in Drywall, Steel Stud Metal Framing, Paint, or other product/service that is core to Berg’s offerings.

Sedentary Work

  • Sedentary work involves lifting no more than 10 - 15 pounds at a time and occasionally lifting or carrying.
  • Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties.
  • Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.
