Katmai is Hiring a Project Coordinator - IRS Paper Processing & Clerical Support Near Austin, TX

Job Description:


WORK SCHEDULE

40 hours per week. May need to be available to provide support during the day (7:30 a.m. to 4:00 p.m.) or swing shift (5:00 p.m. to 1:30 a.m.). May be required to work additional hours as needed to complete assignments or projects.

SUMMARY

This position will assist the Project Manager and Team Manager in administration and oversight of the personnel on/off-boarding, timekeeping, security processing, scheduling, and various tasks to support the Internal Revenue Service’s (IRS) Paper Processing and Clerical contract. May need to be available to support the Team Managers during swing shifts. Support all internal and external communications.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Provides leadership, management, and execution of all administrative duties of the efficient daily operations of the office and project/team managers.
  • Identifies and tracks all infrastructure (information technology, supplies, equipment) requirements.
  • Helps in responding to all administrative requirements; meeting all staffing efforts including administering and scheduling interviews, contacting candidates, gathering and storing resumes; and assisting corporate Human Resources staff in administering to the needs of site personnel.
  • Coordinates closely with personnel in communications and outreach.
  • Prepares and processes receipts, purchases office supplies, and coordinate efforts for additional administrative tasks.
  • Responds to informational needs on behalf and with both internal and external employees of the site.
  • Organizes work activities to ensure timely completion of assigned responsibilities.
  • Fosters positive work relationships with customers, co-workers, and visitors.
  • Must be able to work with both technical and non-technical team members and customers, tailoring messages appropriately.
  • Maintains regular and punctual attendance.
  • Performs other duties as assigned.
Job Requirements:


MINIMUM QUALIFICATIONS

  • High School Diploma or GED required. College or technical coursework is preferred.
  • A minimum of two years administrative experience in managing and administering the needs of an office environment including record keeping and document processing.
  • Must obtain and maintain any necessary security access and/or background checks.

SPECIAL SKILLS

  • Ability to operate standard office equipment.
  • Ability to work independently with minimal direct supervision.
  • Ability to coordinate several activities at once, quickly analyze and resolve specific problems and cope with deadlines effectively.
  • Contribute to the fostering of positive office morale; be a team player.
  • Adapt to changes in the work environment and manage competing demands while maintaining a professional demeanor.
  • Communicate effectively both in writing and verbally with applicants, employees, and managers at all levels of the organization.
  • Excellent telephone skills.
  • Deliver excellent customer service in a fast-paced environment.
