Texas Regional Office is Hiring an Office Receptionist Near Austin, TX

Position Overview

This position is responsible for overseeing office related functions and providing support to all personnel. The

Key Responsibilities (Essential Duties and Functions)

  • Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
  • Maintain front door security and report any suspicious activity to Executive Assistant, Safety or Human Resources
  • Answer incoming phone calls and direct calls accordingly
  • Receiving and sorting daily mail and deliveries
  • Submit receiving slips for deliveries
  • Manage incoming contracts by tracking and shipping to the various offices
  • Manage meeting room availability
  • Ensure common office areas are tidy, presentable, and stocked as needed
  • Ensure kitchen is stocked as needed and dishwasher is maintained
  • Keep stock of office supplies and coordinate with Executive Assistant to place orders when necessary
  • Perform other clerical duties such as mailing, filing, photocopying, transcribing and faxing
  • Assist with event coordination
  • Regular and predictable attendance at assigned times is required
  • Other duties as may be assigned

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education/Experience

  • High School diploma or general education degree (GED) required.
  • Related experience in an office setting, performing administrative tasks

Work Requirements

  • Must be proficient in Microsoft Word, Excel, PowerPoint, and Outlook
  • Must be 18 years in age or older
  • Must pass pre-employment physical, drug screen and criminal background check
  • Must possess a valid driver’s license
  • Able to safely drive a vehicle
  • Regular required attendance and reporting ready to begin work at the designated start time
  • Strict adherence to safety requirements and procedures as per company policy
  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required
  • Must be willing to travel and work away from home when required
  • Must be willing to work nights and weekends when necessary
  • Individuals are required to wear personal protective equipment (PPE) in designated operations and production areas as stated by OSHA and/or MSHA
  • Compliance with all OSHA and/or MSHA regulations

Knowledge/Skill Requirements

  • Requires proficient use of printer, scanner, fax and copy machine, calculator, computer, writing instruments, switchboard telephone, postage machine, Microsoft Office Outlook, Excel, Word, PowerPoint and the ability to work with various software programs which support business functions.
  • Ability to work independently
  • Ability to understand and follow complex verbal and written instructions
  • Ability to meet attendance schedule with dependability and consistency
  • High standard of ethics, integrity, and trust


Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • May occasionally lift move/carry up to 10 lbs. and occasionally use exertion forces of pushing/pulling of up to 10 lbs
  • Frequently required to sit, stand, walk, talk and hear, use hands and fingers to manipulate objects for extended periods of time
  • Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus

Work Environment

  • Standard office environment
  • Tempo is fast paced with deadlines
  • The noise level in some areas of the work environment may be moderate.
