Job Description
The Administrative Assistant provides budget and operational functions for the Syracuse Center of Excellence in Environmental and Energy Systems (CoE) which include, but are not limited to, processing of various financial transactions, invoicing and payment management, and management of CoE public space used by the campus community as well as off-campus organizations. This position also manages and coordinates all aspects of daily operations and events involving the CoE and/or held at the CoE building.
Qualifications
An Associates Degree with at least 2 years’ relevant experience is required.
Job Specific Qualifications
  • Ability to manage time well and respond to changing priorities.
  • High proficiency with Microsoft Outlook; good working knowledge of Word and Excel. Working knowledge of Adobe Acrobat Pro, web interfaces, and web/based contact management applications preferred.
  • WordPress and event registration/management software preferred.
  • Strong customer service skills as well as attention to detail and follow up skills.
Responsibilities
  • Assists the Budget Analyst with financial reports, general ledger and HR/Payroll processes.
  • Provide coverage for various responsibilities of the Budget Analyst (.80 FTE) in their absence.
  • Responsible for the processing of various financial transactions – purchase requisitions, ePro, IDs, travel vouchers and reimbursements – ensuring compliance with University and grant sponsors’ policies and restrictions; analyze and resolve issues that may arise.
  • Maintain records required for auditing purposes.
  • Assist with fiscal year end activities.
  • Manages invoicing and payments for building occupants/licensees and Center of Excellence partner dues.
  • Manage requests and maintain database for use of Center of Excellence public space from the campus community as well as off-campus individuals and organizations. Manage all aspects of events, tours, planning and coordinating of functions, arrangement for auxiliary services, lodging, meals and transportation as needed.
  • Perform a variety of professional and administrative duties that facilitate all day-to-day operations of the Center of Excellence including distribution of incoming mail, answering phones and emails, greeting guests, ordering supplies and receiving deliveries.
  • Coordinate the registration process for events/conferences and maintain registration database.
  • Maintain mailing lists and update email forwarding system.
  • Other duties and special projects as assigned.
