Job Description
I. JOB SUMMARY:
Under the direction of the accounting manager, provides administrative support necessary to
pay the obligations of the company.
II. DUTIES & RESPONSIBILITIES:
- Receives and organizes invoices from vendors; ensures invoices have proper approval; checks vendor files for payment of any invoices listed as outstanding and calls departments and/or vendors in regard to outstanding invoices for verification of unpaid, lost, or billed invoices.
- Takes calls and answers any questions from departments or vendors with regard to invoice payments.
- Makes calls to clarify any questionable invoice items, prices; calls departments for proper information and/or data regarding invoice payments.
- Assists customers with research of posted expenses.
- Codes and enters invoices, check requests and expense reports into appropriate systems.
- Pre-prints check report and matches with appropriate invoices.
- Processes online company credit card payments and reconciles credit card payments with appropriate receipts.
- Reviews all invoices for appropriate documentation and approval prior to payment.
- Maintains and updates vendor information with regard to W9's.
- Allocates loan related expenses at loan level as required.
- Maintains and updates report of office lease/rent payments and processes lease payments for mail out by the first of each month.
- Performs analysis of accounts as required.
- Processes daily check run and ensures appropriate policy and procedures are met.
- Maintains a professional image and adheres to standards consistent with company policies and procedures.
- Other duties as assigned.
- High school diploma or equivalent.
- Minimum of 3 years' experience in accounts payable.
- Excellent written and verbal communication skills.
- Excellent organizational and time management skills.
- Excellent PC skills, including word processing and spreadsheets. Ability to learn additional programs as required.
- Demonstrated ability to interact effectively with branch, regional and corporate personnel.
- Demonstrated judgment and decision-making ability.
- Must be available to work all regularly scheduled hours; arriving at scheduled reporting time and at the prescribed time after any breaks or lunch periods.
