The Administrative Assistant 1 provides support to the Director of Facilities and the Facilities Department by performing clerical tasks. These tasks include greeting customers, answering phones, sending emails, preparing reports, and meeting invites, taking meeting minutes, and filing. This position would also supervise two or more Office Assistants 1; or directly perform the more complicated clerical processing and office support work for which substantive knowledge of the program area is required, or do both.

  • Manage Enterprise, Fleet Requisitions, Inventory, Asset Control, and Capital Project submittals
  • Supervise two or more Office Assistant 1 positions and manage package/mail receipt, mail processing/distribution, and package processing/distribution.
  • Provide clerical processing and office support work for the Facilities Department and any necessary communication with the business office on purchase requisitions.
  • Greeting customers, answering phones, sending emails, preparing reports, and meeting invites, taking meeting minutes, and filing.
  • Other reasonable duties as assigned.

  • This position supervises 2-3 Office Assistant 1, SG-6 positions assigned to Stores and Mail.

Coursework Requirements: candidates must complete the below coursework requirements within 1 year of appointment to a traineeship:

Coursework: Candidates must complete the following core courses: Microsoft Word Basics; Customer Service; Organized Office Worker; and Successful Business Writing.

In addition to the above courses, candidates must also complete the following courses in the following competencies: Professionalism & Self-Management, Verbal and Written Communication, Interpersonal and Customer Relations, and Computer Skills and Technology.
