Overview:
We are seeking a detail-oriented and organized Office Administrator to join our quickly growing restaurant management company. The ideal candidate would be the conduit between the restaurants, office operations, outside stakeholders, and the owners to ensure the smooth passage of knowledge and workflow. The Office Administrator is a key person in the success of our company, so a highly skilled candidate is required.
Duties:
-HR functions such as entering office and restaurant payroll to ADP (or similar) on a biweekly basis, reporting labor cost as percentage of sales, monitoring overtime, maintaining and organizing the company handbook, assisting with onboarding, recruitment, and other employee matters
-Accounting functions such as daily reconciliation of sales reports from the restaurants, consignment verification, AP/AR verification and processing, and coordinating with our outsourced finance and accounting firm
-Read and reply to phone calls, email, and physical mail received by the office and owners
- Manage office supplies inventory and place orders as necessary
-Book any facility repair or maintenance required
- Maintain a clean and organized office environment
-Organizing, writing agendas, and maintaining rolling action items list for weekly meetings
- Handle scheduling, appointments, and travel arrangements
Qualifications:
- Proven experience as an Office Administrator, Office Assistant, or relevant role
- Proficiency in MS Office (MS Teams, MS Excel, and MS Outlook, in particular), should have deep knowledge of how to set up and manage shared calendars, email rules, filtering, replying on behalf of others.
- Excellent time management skills and ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Knowledge of office management systems and procedures
Nice-to-have Skills:
-Accounting or finance degree or certification
-HR degree or certification
