Stradley Ronon Stevens & Young is Hiring an Office Coordinator Near Chicago, IL

Required duties include, but are not limited to:

  • Office services duties for the office including ingoing/outgoing mail, duplicating and imaging, file/records maintenance, supply ordering/maintenance;
  • Planning and coordinating special events, office social events, including working with the firm’s event manager on client events, catering/hospitality,
  • Coordination of office operations, including new employee set-ups, visitor office space, and consistent interaction with various administrative departments to ensure continuity of service;
  • Assist with facilities-related matters, including office security/visitor access and logs, maintenance/HVAC requests, etc. Requires frequent interaction with on-site landlord representatives;
  • Greet all visitors, maintain and open/close reception area;
  • Answer main phone line and transfer calls as necessary;
  • Invoice review and disbursement processing;
  • Local contact for Chicago office vendors;
  • Work with and provide practice group support to the Investment Management group;
  • Work on special projects;
  • Provide administrative support, including, but not limited to, document production, business intake materials and expense forms/paperwork;
  • Draft and assist in the preparation of meeting minutes;
  • Coordinate and participate in day-to-day client management.

Qualified candidates will possess the following skills and experience:

  • 2 years of administrative or customer service experience in a professional office setting;
  • 2 years of events planning experience a plus;
  • Strong interpersonal and communications skills;
  • Competency in Outlook, Microsoft and other Office applications;
  • Experience with CLE or similar professional certification programs a plus.
