The WSIB operates in a hybrid work environment and this position should anticipate 60% of their time in the office. 

The WSIB is seeking a qualified candidate to join our Legal, Risk, and Compliance (LRC) team as an Administrative Assistant 3. The LRC team provides a full range of legal, risk, and compliance services to a complex investment organization with a wide range of financial responsibilities associated with managing the WSIB’s portfolio. This is a full-time permanent position reporting to the Procurement and Legal Services Manager, providing a variety of support and services to the LRC team and agency, with a focus on public records, contracts, and investment compliance. 

If selected for this role, you will support several major program activities, including records management and public records, enterprise risk management, compliance, and contract procurement. This work includes:

  • Working closely with the Public Records Officer and Investment Compliance Manager.
  • Tracking, maintaining, and responding to public records requests.
  • Ensuring LRC unit compliance with records retention laws and managing inventory processes.
  • Gathering data to prepare various state, federal, and international regulatory filings and reports.
  • Maintaining contract data in an Access database.
  • Processing gifts received by staff in accordance with ethics laws and agency policy.
  • Preparing and editing contract and solicitation materials, meeting notes, and other necessary documents.
  • Managing administrative needs of the unit, such as notarizing documents, scheduling meetings, monitoring and directing communications from the shared email inbox, routing documents for signature, tracking invoices, and coordinating meeting logistics.

We are looking for a skilled administrative professional with experience in administrative functions who can anticipate needs, is dedicated to the success of the team, and willing to be flexible in order support workload spikes within the unit. COMPETITIVE APPLICANTS WILL HAVE:

  • Knowledge of administrative procedures, office practices, correspondence preparation, state and departmental policies, research methods and data collection, and general business operations. 
  • Ability to work independently.
  • Experience reading, interpreting, and applying policies and procedures.
  • Experience planning and assisting in the operations of a unit.
  • Ability to prepare coherent and meaningful reports; write clearly and effectively.
  • Possession of a Washington state license as a notary public, or ability to obtain such a license within 3 months of hire.
  • Customer service skills – the ability to manage multiple parties simultaneously, understand what information can be shared; ability to manage customer expectations.
  • Accountability – Accepts personal responsibility for the quality and timeliness of work. Can be relied upon to achieve excellent results with little need for oversight.
  • Ability to work effectively with a diverse group of people.

THE STRONGEST APPLICANT WILL HAVE:

  • High School diploma
  • 3 years of progressively responsible experience in office/clerical or general administrative work. Formal education may substitute year-for-year for experience.
  • Superior command of oral and written communications.
  • Proficiency in Microsoft Office products to include Word, Excel, PowerPoint, Outlook.
  • Strong organizational, coordination, and planning skills.
  • Ability to prioritize workload, perform multiple tasks, and handle interruptions appropriately.
  • Problem solving skills.
  • Knowledge of copier equipment and features.
  • Vendor management skills including contracting and service management.
